How to add a formula field to your table

Formula fields streamline data entry by automatically calculating values based on predefined logic. Similar to functions in Excel and other spreadsheet softwares, they improve operational efficiency, enable customization, allow for real-time updates and promote a dynamic yet precise approach to maintaining data. Formulas ensure consistent calculation and are scalable with respect to quickly processing large sets of data. Multiple arguments can be linked in one formula input and formula field values can be included in other function arguments.

Admin level permissions are required to add a formula field to a table. Admins will enter a specified formula input when creating the new field. This input can be modified later if needed. Once the formula is applied to a field, it continually updates calculated values in table records. An extensive collection of pre-built formulas are available here. Pitchly also offers two custom formula types REFJOIN and AI. You can also incorporate referenced data from other tables into formulas by utilizing lookup fields. Create a formula field:

Click on the table name to display the More options menu

Click Edit Table

Click +Add field in the top right corner of the Update Table window

4.

Insert at the beginning or end of the table

5.

Select “Formula” as the field type

6.

Name the field (“F1” in this example)

As you begin to type, functions will display to the left in green

Click the desired function to add to the formula input

Click into the parentheses to insert Pitchly fields

(In this example, we use the SUM function and include the Deal Estimate and Adjustment Lookup fields)

As you begin to type, field names will display to the left in blue

Click the desired field name to insert to the formula input

Once complete, click Update

Formula values will populate in the table

Formulas can be adjusted at any time by editing the field in the Update Table window.

Tips for Avoiding Errors:

  • Use numbers without commas, ex. 3433 rather than 3,433.

  • An asterisk (“*”) serves as the multiplication operator not “x.”

  • Confirm that you have accurately positioned both the opening and closing brackets ("{}") and parentheses ("()").

  • Rather than typing field names directly into formulas, select field references that will appear next to the formula input.

  • Test formulas incrementally when using multiple arguments. Add one component at a time and check results as you go.

  • Only one currency type will display when multiple arguments are included in a formula. The currency will default to the currency type included in the first argument.

  • Document your formulas to explain the purpose and logic and utilize the field description to include comments or instructions for users.

  • Verify data types. Arithmetic formulas applied to text value fields will result in errors.
