When two profiles for the same child are merged (see How Merging Duplicate Child Profiles Works), PLAI automatically checks whether both profiles held a membership at the same club, of the same membership type. If they did, that's treated as a duplicate and resolved as part of the merge, without you needing to request anything.
Note: Only an exact match on both club and membership type counts as a duplicate. Different membership types at the same club, or the same type at different clubs, are never affected and both are kept.
If it's a subscription-based membership
The newer of the two memberships is cancelled, its status changes to Merged_Cancelled and any active autopay on it stops immediately. All of its payment history is added to the surviving membership's timeline, nothing is lost.
If money is owed back to you, you'll be asked to choose:
Club Credit — full value, carried forward against future payments, or
Cash Refund — minus any applicable fees
Note: If the credit would be worth more than what's left on the membership term, the excess is automatically issued as a cash refund instead, you won't need to make a separate decision about the leftover amount.
If it's a one-time payment membership
There's no choice to make here. PLAI automatically raises a refund request to the club admin for the amount paid on the duplicate, and you're notified: "A refund for the duplicate [Membership Name] at [Club Name] has been requested. The club admin will process this."
If no refund is due
Sometimes there's nothing to settle, for example if the duplicate membership had already lapsed or its terms are non-refundable. In that case, it's simply marked Merged_Cancelled with no financial action, and you're told no refund applies.
If there's more than one duplicate
If both profiles overlapped on multiple memberships (say, duplicate swimming and duplicate tennis at the same club), each one is resolved one at a time, and the club gets a single combined summary rather than several separate notifications.
FAQ
Will I be charged twice while this is being sorted out?
No, the duplicate's autopay is stopped immediately as part of the merge, before any settlement choice is made.
What if I close the app before choosing Club Credit or Cash Refund?
Your choice remains pending, you'll be prompted again next time you open the app. The merge itself still completes, you just haven't settled the financial side yet.
Can I re-enroll my child in a membership they already have after a merge?
No, PLAI blocks this at the point of enrollment, since they're already covered under the surviving membership.
Does the club see all of this happening?
Yes, the club admin gets an automated email covering which memberships were merged, which one survived, the combined payment history, and how the refund or credit was resolved.
