Sometimes a debt just isn't going to be collected, whether that's due to hardship or a committee decision, and you need to clear it from your books cleanly. Waiving a payment does that while keeping the member informed.
Important: Waiving a payment can't be undone. Once waived, there's no way to reopen it. If you need to collect on it later, you'll need to send a new payment request instead.
How to waive a payment
On the Payments tab, find the outstanding or failed payment you want to waive.
Select Waive Payment from the payment record.
A confirmation modal opens showing the amount and member name in the headline, for example "Waive £25.00 for James Carter?"
Enter a reason. This is shown to the member in their notification, so keep it to 80 characters or fewer.
Tap Yes, waive payment to confirm.
The payment status updates to Waived, your Outstanding total decreases by that amount, and the member is notified by push and email.
Good to know
Waive only appears on payments that are Unpaid, Overdue, or Failed. It won't show on Paid, Refunded, or already-Waived payments.
Waiving removes the amount from your Outstanding total, but it doesn't affect your Received or revenue figures, since that money was never actually collected.
The member's notification always uses "waived" language, never "forgiven," "cancelled," or "written off."
Every waive action is logged with the admin's name and timestamp for your records.
FAQ
What's the difference between waiving and refunding a payment?
Waiving is for money you never collected, an outstanding or failed payment you're choosing to write off. Refunding is for money you already collected and are giving back. See How to Refund a Payment for the latter.
