How to Create a Trip

Creating a trip is the starting point for everything in PlanitEasy — from building itineraries and adding reservations to invoicing and sharing proposals with your clients.

Creating a New Trip

Step 1: Click the Create button in the top-left corner of any page in PlanitEasy.

Step 2: A popup will appear. Select Trip.

Step 3: Choose between Individual or Group trip type.

  • Individual — for a single traveler or a couple/family booking together

  • Group — for multiple travelers with separate bookings, rooms, or options (e.g., a group tour with different room types)

Step 4: Fill in the trip details:

  • Trip Name — give it a descriptive name (e.g., "Smith Family - Italy 2026")

  • Destination — the primary destination

  • Start Date & End Date — the trip dates (these determine how many day rows appear on your Planner page)

Step 5: Click Save and you'll be taken to the trip's Planner page where you can start building the itinerary.

Adding Travelers to the Trip

After creating the trip, add your travelers:

  1. On the Planner page, select the Travelers tab

  2. Click the "+" button to add a traveler

  3. Search for an existing profile or create a new one

What to Do Next

Once your trip is created, you'll typically:

  1. Add reservations — drag and drop services (hotels, flights, transfers, activities) onto your days.

2. Customize the itinerary — add day titles, cities, photos, and notes.

Creating a Trip from a Trip Request Form

If a client submits a Trip Request Form, you can create a trip directly from their submission:

  1. Go to Forms → Received Forms

  2. Find the submitted trip request

  3. Click Create Trip — the trip will be pre-populated with the client's info

Tips

  • Individual vs Group: If you're unsure, start with Individual. You can always manage multiple rooms or options within an Individual trip. Use Group when you need separate booking options (like Option A / Option B) for your client.

  • Trip naming convention: Use a consistent format like "Last Name - Destination - Year" for easy searching later

  • Trip Status: Use trip statuses (Quote, Confirmed, Completed, Cancelled) to track your pipeline. See Trip Status Workflow
