How to get the most out of Cloudbeds Add-Ons and Planniac Upsell by ensuring your employees know what's going on!

Planniac has the tools to semi-automate a lot of your front desk & concierge responsibilities. But honestly, it will be useless unless you put it in to daily use. And that won't happen unless you provide a little training.

Suggestions for training new users how to use Planniac Upsell:

  1. Set it up as best you can.

    We recommend starting with 6-8 Cloudbeds Add-Ons and at least 12 Planniac Upsell offers. If you still need a little assistance with setting these up, read up on Cloudbeds Add-Ons and Planniac Upsell.

    Once you are satisfied with the offers you display as Cloudbeds Add-Ons or as Planniac Upsells, then start showing your staff how to use them.

  2. Explain why you are using the features:

    1. Accurate requests from guests

    2. Advance planning to avoid sell-outs

    3. Consistent pricing and descriptions of the offers

    4. Ability to easily post to Cloudbeds guest folios

    5. Guests are presented with offers at their convenience

    6. Business benefits from more activity sales

  3. Start with the home page.

    Point out the "Planniac Upsell" section where two options appear.

    1. The preferred option to use for hotel guests and outside guests is to select "Send Upsell Link." When you open that, they'll be able to select a guest (or outside guest) and send a pre-written email to present the offers. When they open the link from the email, they will see the attractive page offering experiences from the hotel.

      1. For a guest, or an outside guest whose details you already know, simply select from the list and press Send or Copy Guest-Specific Link to send another way (via a manual email or text).

      2. For a new inquiry from an outside guest, all you need to do is select "New Outside Guest" and input their name and phone number to send an email with the link.

    2. The other option is to copy a general link to the experiences.planniac.com page for your hotel. This link can then be pasted into an email or text message to send to the guest, or to an outside guest if you sell services to them as well.

  4. Look at the Upsell link on the Guest page

    1. This is another way to send the guest a link to their Offers & Experiences page

  5. Show how they will appear on the Planns Page

    1. Show how to filter by Add-Ons and Upsells from the drop-down menu

    2. Show them how to read the Legend from the top right menu (under the user icon) . Activities with those symbols to the left of the date have been created automatically.

  6. Explain that these activities have not been confirmed yet

    Activities booked with Planniac Offers and Cloudbeds Add-Ons require followup with the activity provider and possibly the guest. When that's done,

    1. Date, time & resource should be adjusted

    2. Status should be adjusted

    3. Payment method should be entered

      1. For Cloudbeds Add-Ons - we recommend using a status called "Cloudbeds Add-On" which will make the amount due "$0" since it was billed to the folio at the time of the reservation.

      2. For Planniac Upsell - you will need to either charge the guest folio or record a different form of payment

  7. Show how the activities will appear on the guest's itinerary which they can view:

    1. By clicking the link on the Offers & Experiences page

    2. Staff can send an itinerary link from

      1. The Planniac home page

      2. The Guest detail page
