Mobile log-ins show staff the information they need

Planniac has a mobile tool that can assist staff in these departments:

  • Reservations

  • Front Desk

  • Housekeeping

  • Tour Desk

  • Drivers & Guides

  • Kitchen

  • Restaurant Front-of-House

How to log in

From a mobile phone or tablet, log in to either frontdesk.planniac.com or m.planniac.com. They will both take you to the mobile version as long as you do it from a mobile device. You'll see the login screen.

Login requires user email and password. This is set up in Settings > Planniac Users

Depending on the user's access level, these are the mobile tools available

Who sees what?

In Settings > Planniac Users you will add any mobile user and set their access levels. Set their access level according to the permission level you want them to have.

  • Level 1 is the most restrictive and only allows them to see reports for their own departments.

  • When you tick any of the boxes including HK (Housekeeping), D (Driver or Guide), R (Restaurant) or K (Kitchen) then they will only see reports for their own departments. If those are not ticked, they will not have access.

Reservations and Front Desk

Reservations and Front Desk users will have access to the main mobile dashboard. They can also see the reservations list (including upcoming reservations).

Houskeeping

Expanding on the housekeeping mobile report available on Cloudbeds, Planniac's housekeeping tool adds:

  • Specific guest-related tasks that have been scheduled, such as special arrival packages, guest laundry service, etc.

  • Supervisor notes that can change on the fly and also be set for the following day

  • Today's and future tasks related to either guests or empty rooms

In-house Drivers, Guides and Tour Desk

This login gives access to reports about what guests are doing and where they are going. It also includes driver, guide and vehicle assignments.

Restaurant

This report showing the names of guests in rooms, and the status of the reservation, is essential.

  • It can be displayed on an ipad or POS computer in the restaurant so the servers always know how to charge rooms correctly.

  • It can show meal plans

  • Check-out status is clearly visible so servers don't accidentally forget to bill the last breakfast to the room!

  • Since the names of all guests are present, it helps prevent the wrong room getting charged and also shows who is authorized to make room charges

  • If you take guest photos, they can be seen from here as well

Kitchen

Finally, the kitchen report

  • shows guests with food allergies or dietary preferences

  • shows special tasks like birthday cakes or non-standard room service requests
