Overview: Replacing the Procurement Log

How PLOT takes the place of your old Excel tracking sheet, synchronizes with Submittals and Schedules, and automatically checks in with Trade Partners.

PLOT's Procurement Scheduling & Tracking tool is intended to fully replace any Procurement Log spreadsheets being used by the project team. The Procurement tool synchronizes the Material Procurement process with Submittal management (Procore, Autodesk Construction Cloud), and CPM-based scheduling (Oracle Primavera P6, Microsoft Project)

PLOT use simple calculations to calculate deadlines. This calculation works backwards from the 'Required on Site' date. They are represented by the vertical bars in the Push/Pull Scheduling Graphic.

The Push Schedule: Tracking Procurement Step Completions and Anticipating Results

PLOT calculates forward based on actual milestone completions and past due incomplete deadlines, to anticipate the past's impact on upcoming milestones.

PLOT has fields to Log when Procurement milestones were completed. They are represented by solid nodes in the Push/Pull Scheduling graphic above.

PLOT has calculations to see how past action (or past-due inaction) are affecting the remaining milestones. They are represented by hollow nodes in the Push/Pull Scheduling graphic above.

Submittals vs. Materials vs. Orders

PLOT treats Submittals, Materials, and Order as associated but inherently different objects. This might be the part of PLOT with the largest learning curve, but we assure you that once this framework is understood, you will love the flexibility and automation this allows for.

Submittal (can reference multiple materials):

  • any contractor-prepared document, sample, or information package—such as shop drawings, product data sheets, or material samples—submitted to the architect, engineer, or owner for approval before procurement or installation.

  • not created/managed in PLOT.

  • referenced from its workflow in Procore or Autodesk Construction Cloud - Build

Material (can reference multiple Submittals and separated into multiple orders):

  • a Material in PLOT can reference anything being delivered and installed on site.

  • Multiple Submittals might need to be approved to order one Material (e.g. Shop Drawing and Product Data Sheet necessary).

  • One Material might be ordered and delivered multiple times (e.g. per floor)

Order (can only reference on Material):

  • An order typically refers to the quantity and form of material that the Trade Partner will receive in one Delivery.

  • An order can still constitute multiple delivery vehicles, but likely all arriving on site at the same time.
