For clients who care more about the experience than the date.

The Book by Setup flow flips the traditional booking logic — instead of starting with a date and checking what’s available, clients start by selecting the setup they want to use. This is great for creators who already know their preferred room, production format, or vibe — and want to build their session around it.

Everything from services to availability dynamically adapts to the setup the client selects.

Step 1: Choose Setup

The client is presented with all the active setups the studio has published — each with:

  • Setup name

  • Image or video thumbnail

  • Short description

  • Number of seats supported

Setups are ordered based on the studio’s preferences in Appearance → Section Reordering, and they reflect only those tied to at least one active room and service.

Once a setup is selected, the rest of the flow is scoped only to the services and add-ons tied to that setup.


Step 2: Choose Base Service

After picking the setup, the client sees all the base services available within it.

  • These are the core session types (e.g. "Audio Podcast Only," "Podcast + Video," "Livestreaming")

  • Each service includes:

    • A name

    • Price (based on default duration)

    • Description

🧠 Base services only appear here if they’ve been tied to the selected setup in the Admin Panel.


Step 3: Choose Date, Time & Duration

Once the base service is selected, the client picks their:

  • Preferred date

  • Time window and exact time

  • Session duration

✅ Availability is based on:

  • The setup’s connected room(s)

  • Any active slot blockers

  • Studio-wide availability hours

  • Existing bookings and buffer times

If the selected time is no longer available, it will be grayed out or removed from the dropdown.


Step 4: Add-Ons + Upgrades

Now that time is locked in, the client is shown:

  • Any upgrades linked to the selected base service
    These appear in a pop-up and are meant to suggest high-value add-ons commonly used with that service.

  • The full add-on list, filtered by what’s visible and tied to the selected setup
    Add-ons can be:

    • Per session, per hour, or custom-unit priced

    • Subject to minimum quantities (e.g., “minimum 2 reels”)

🧠 Add-ons that are marked as invisible in booking flow are only available to admins during manual bookings.


Step 5: Booking Notes (Optional)

If the studio has enabled Booking Notes, the client will see a text field to provide context or requests — like:

  • Guest names

  • Special tech needs

  • Topics or goals

  • Anything the studio should prepare in advance


Step 6: Terms, Payment & Confirmation

Before submitting the booking, the client will:

  • Enter any promo code

  • Review the pricing breakdown (with VAT if applicable)

  • Agree to the studio’s Terms & Conditions

  • Enter card details and pay (if required)

  • Or submit a booking request if Pay Later is enabled

If not logged in, the client will be prompted to create an account before the booking completes.

It dynamically respects availability, ties services and add-ons together based on admin configuration, and gives the studio the flexibility to guide clients toward the best sessions for their needs.
