While most of your clients will book through your public-facing Podyx page, sometimes you need to step in and create a session manually — whether it's for a custom arrangement, an offline client, or a last-minute session.
Admin Bookings give you full flexibility to schedule on behalf of a client — without requiring them to go through the regular booking flow.
🔍 Where to create an Admin Booking:
You can start an Admin Booking from two places:
Create New → Admin Session (top-left shortcut menu)
Sessions → New Individual Session
Both paths take you to the same booking form — the only difference is where you’re coming from.
🛠️ What You Can Customize in an Admin Booking:
Client Email (required)
This ensures the session is linked to their user profile and calendar invite is sent.Setup
Choose which setup this session will take place in. This determines the room, available time slots, and what services/add-ons are applicable.Base Service
Select which core session type is being booked.Date, Time & Duration
Manually select any available slot (overrides normal cutoff rules).Add-Ons
Add extras like highlights, trailers, or support packages.Price Override (optional)
You can override the default pricing and set a custom session total. This is especially helpful for VIPs, barter deals, or test sessions.Internal Notes
Add any private notes about this booking that your team needs to see (not visible to the client).
⚠️ Important Notes About Admin Bookings:
🚫 No Payment Link Is Sent
Unlike standard bookings, Admin Bookings do not trigger a payment screen or link. The session is confirmed immediately and a calendar invite is sent to the client, but you are responsible for handling payment externally.
Common payment workflows:
Send a manual Stripe or Square payment link
Invoice separately
Charge on-site if you’re using Square in person

The client’s User Profile
Your studio’s calendar view

It’s treated like any other booking from a scheduling standpoint — the only difference is how it’s created and how it’s paid.
🔄 How Admin Bookings Interact with Cutoff Rules:
When you create a booking manually, you are not bound by the cutoff time, rescheduling window, or session buffer settings set in your studio settings. You have full override ability.
This means you can:
Create last-minute bookings
Backdate a session if needed (for tracking)
Create special sessions that fall outside regular hours
