Who this is for: studio operators (admin panel) · Plan: Premium · Product: Podyx V2
File sharing & collaboration is where you hand finished work back to a client and get feedback without a single email chain. Files from a session go to the client as downloads, and when you want feedback on a video you send it for review: comments land on exact moments, re-cuts stack up as versions, and the whole back-and-forth stays attached to the booking it came from, through to the cut you both sign off.
ℹ️ File sharing & collaboration is a Premium plan feature. On Essential you will not see it.
🧭 The two things you can do
Everything else in this article follows from this, so it is worth getting straight first.
Share a file. Any file you add (video, audio, PDF or ZIP) is Shared the moment it is added: the client can download the original, and nothing more. For most deliveries that is all you need.
Send a video for review. When you want feedback, click Send for review on the video's card. Podyx prepares a copy that plays in the browser, everyone in the session is emailed when it is ready, and they can comment on the exact moment they mean.
Sharing and reviewing are two separate decisions. A finished master going out to a client does not need a review loop attached to it, and it does not get one unless you ask for it.
ℹ️ Review is for video. Audio, PDF and ZIP files are shared as downloads.

🔧 Where to find it
Operations → File sharing & collaboration
The page lists your sessions. You can show the last 7, 30 or 90 days, and filter to Files added or Awaiting files, so you can see at a glance which sessions are still waiting on a delivery. Each session carries its status on the right.
To find anything older, search by client name, session ID or order ID.
💡 Filtering to Awaiting files at the end of the week is a quick way to catch a session nobody delivered.
🚀 Run your first review, start to finish
Open File sharing & collaboration and click the session.
Click Add files, choose Video, paste a public link and click Add. The file appears as Shared, so the client can already download it.
Click Send for review on the video's card and confirm.
Podyx prepares the video for browser playback. This takes a few moments, longer for larger files.
Everyone in the session receives a Your recording is ready for feedback email with a Watch and comment button.
Comments arrive pinned to exact moments. Reply to them, and Resolve each one as you deal with it.
Add the re-cut as a new version of the same file, and use Compare to check the changes side by side.
Click Export Premiere markers whenever you want the notes inside your edit.
When the cut is agreed, click Mark as done.
📤 Add files to a session
An empty session reads Start here: create a folder or attach files to share their originals. You can do either:
Add files opens a menu for Video, Audio, PDF or Zip.
Add folder groups files, for example one folder per recorded episode. Folders are optional: files can sit at the top level of the session.
Audio covers WAV, MP3, M4A, AAC and FLAC, and video includes raw MP4 recordings.
The session page groups what you have added by type (Folders, Videos, PDF and so on), each with an item count.
That makes the session the one place everything from a session lives: the mixes, the stems in a ZIP, the signed release form as a PDF. Instead of the video sitting in Podyx while everything else sits in an email thread, the client opens one session and finds the lot.
🔗 Adding a file is adding a link
Podyx stores a link to your file. The original stays in your own storage. You paste a Google Drive, Dropbox or direct HTTPS link, and there is no account to connect.
The link has to be public and downloadable:
For Google Drive and Dropbox, set access to Anyone with the link.
A direct HTTPS link must point straight at a supported file, not at a page that contains one.
Private, team-only, password-protected and download-disabled links cannot be added.
If a link is refused, the message says why: a link that is not public, a missing link, or a file type Podyx does not take. Each one can be fixed without guessing.
💡 Sharing settings are behind almost every refused link. Check Anyone with the link on the Drive or Dropbox side before you check anything else.
🗂️ The file card
Each file has a card showing:
Status: Shared once the file is available to download
Comments: how many the file has
Last edited: date and time, in your time zone
Last version: the current file and its version number, starting at V01
Send for review on video cards
The ⋯ menu opens next to the card and holds the file's other actions, including moving a video to another folder.
📚 Versions, for any file
A re-cut, a remastered mix or a corrected release form replaces what came before it in place, as a new version of the same file, rather than arriving as a second file with "v2" in the name. The card shows the latest version number, and the version chooser lets you look back.
On the client's side, older versions are grouped under each file, newest first. They get the current version by default, and an earlier cut is still there if they need to go back to it.
ℹ️ Compare appears once a video has a second version. Until there is something to compare, it stays out of the way.
💬 Sending a video for review
Clicking Send for review asks you to confirm. The confirmation says exactly what happens:
Everyone in the session will be able to watch the video in the browser and leave comments on the exact moment.
The original stays untouched and downloadable the whole time.
Members are emailed when it is ready to watch.
Podyx then prepares a browser-ready copy, so the video streams smoothly instead of relying on the original file. This takes a few moments, and longer for larger files.
The video shows Preparing while it converts, and Failed if conversion does not work.
Review opens only once the video can actually be watched, so nobody is sent a page that will not play.
If a video cannot be prepared, it is still Shared and can be downloaded. The file is never held hostage by the playback step.
Audio and video play in sync, so a comment lands on the moment the reviewer meant. Playback works in Safari.
Videos over 4 hours show a plain message rather than failing silently.
✉️ What your client receives
When the video is ready, members get an email headed Your recording is ready for feedback, carrying your studio's branding. It tells them your studio sent the file for review and invites them to press play, pause anywhere and comment right on that moment. It shows the recording's name and a Watch and comment button, and points questions back to your studio.
Watch and comment opens the video in one click: no sign-in, no sign-up. A busy client watching on their phone does not get a password wall between them and the thing they are being asked to approve.
Downloading the original still needs a sign-in. Watching is open, taking the file is not.
When you share files, the client is also emailed once per batch, with each file, its size and a download link, rather than one message per file. Signing in from that email takes them straight to the files.
🎛️ On the review page
Comments are numbered (#1, #2…) and each carries the timestamp it was left at.
Reply to a comment to keep the conversation on that note, and Resolve it once it is dealt with.
Filter comments by All, Open or Resolved, so a long review becomes a working list rather than a wall.
Comment markers sit on the timeline, so you can see where the notes cluster.
The version dropdown next to the file name switches between cuts. In Compare, the audio follows the version you have selected.
Export Premiere markers takes every note into your edit as markers.
Mark as done closes the loop once the cut is agreed. Download and share sit beside it.
Playback speed, volume and full screen are on the player. Recordings over an hour show hours in their timestamps.
Deleting a comment asks first, and edited comments are marked as edited.
Every new comment or reply emails the other members of the review, so a client can leave ten notes and you hear about all of them. Comment emails wait a minute before sending, so a comment posted and immediately deleted sends nothing at all.
💡 Use Resolve as your to-do list: when every comment is resolved and the client is happy, Mark as done is the sign-off.
👥 Who has access
The Who has access panel controls who can see a session's files and take part in a review.
Invites and Copy links default to Commenter, so someone you send a video to can leave feedback straight away. Viewer is one choice away when you want someone to watch without commenting, such as a client's wider team.
Change anyone's role later from the same panel.
Pending email invites are listed with a Cancel invite option.
Each person's email is shown under their name, which matters when two people at a company share a first name.
The booked client is always a Commenter. The person who paid for the session cannot be made a Viewer.
⚠️ Removing someone also cancels their open invite links. An invite email still in their inbox stops working rather than quietly letting them back in. If you remove someone by mistake, re-invite them, because the old link is gone for good.
🔗 Copy links for a whole session
The Access list shows Copy links covering the whole session, not just one video. Each has a role dropdown (Commenter or Viewer, chosen before you hand the link over) and a ⋯ menu to copy or revoke it.
This is the quick way to bring in someone who is not a named collaborator, such as a label contact, an editor or a client's colleague, without collecting their email first. Revoke sits in the same place, which is what makes handing links out safe.
🪪 A role belongs to the person, not the link
Coming back to your own Copy link keeps your role, whether in a new tab or after closing the browser and returning tomorrow.
Someone else opening your link only gets to watch. A link passed around a client's office does not hand out commenting rights you never granted.
A personal invitation opened by the wrong person says so, and staff are pointed to the session itself.
💡 If you want the other person commenting, give them their own access from the Who has access panel rather than relying on a forwarded link.
👤 What your client sees in My Sessions
The moment you add a file, your client gets a Download files button on My Sessions. It lists the session's folders, files and versions, each with a download, plus a link to review any video you have sent for review.
A playable video shows a play icon, so it is obvious which files can be watched in place and which are simply downloads.
Older versions sit grouped under their file, newest first.
The Last edited time matches what you see, so you and the client are reading the same clock.
A failed download opens a Podyx error page with a way back, rather than saving a broken file.
☁️ Where the files live
Your files stay in the Google Drive or Dropbox you already use and pay for. Podyx handles the sharing, notifications and review layer on top.
Downloading an original goes straight to Google Drive or Dropbox, not through Podyx.
Dropbox videos inside a shared folder open like any other.
Google Drive card previews do not use up Drive's download allowance, so a busy file stays downloadable. Originals also stay downloadable when Drive updates a file's record without changing the file itself.
⚠️ Because Podyx stores a link, moving, deleting or un-sharing the file in your Drive or Dropbox breaks it in Podyx too. Keep delivered files where they are.
🎙️ Typical ways studios use it
Final master, no feedback needed: add the file and leave it Shared. The client downloads it and you are done.
Edited episode for sign-off: add it, Send for review, work through the comments, upload the re-cut as a new version, then Mark as done.
Clips for a client's social team: send for review, then hand their team a Viewer Copy link so they can watch without adding to the notes.
The full delivery pack: the video, the audio mix, the stems as a ZIP and the release form as a PDF, in one folder per episode.
❓ Troubleshooting
I do not see File sharing & collaboration. It is a Premium plan feature. See Your Podyx Plan.
A link will not add. Set the file to Anyone with the link in Drive or Dropbox, and make sure downloading is allowed and there is no password. A direct HTTPS link must point at the file itself.
There is no Send for review on my audio, PDF or ZIP. Review is for video. Other files are shared as downloads.
The video has been on Preparing for a while. Large files take longer. If it moves to Failed, the client can still download the original.
A long recording will not play in review. Videos over 4 hours cannot be prepared for browser playback, but stay downloadable.
A file that used to work now fails. Check it has not been moved, deleted or un-shared in your Drive or Dropbox.
Someone can watch but not comment. They are a Viewer, or opened a link forwarded by someone else. Give them their own access as a Commenter.
An invite link stopped working. The person was removed from the session, which cancels their invite links. Re-invite them.
🧠 Why it matters
No more email ping-pong. Feedback, versions and sign-off live in one thread attached to the session.
Everything from a session in one place. Mixes, stems and paperwork sit beside the video.
Fewer misunderstood edits. A timestamp is unambiguous in a way that "around the middle" never is.
Delivery without a review loop. Handing over files and asking for feedback are different jobs, and they are different actions.
Nobody misses feedback, because every comment reaches the other side by email.
It makes you look organized, which is often the difference between a one-off client and a regular.
💡 We are still building on this. If there is a review feature you need, tell us and it goes on the list.
