Everything you need to go from zero to fully bookable. Work down the list in order, because several things in Podyx cannot be created until the thing they attach to already exists, so top to bottom saves a surprising amount of rework. Tick each item off as you go.

💡 Podyx comes in two plans, Essential and Premium. A few steps below, subscriptions, promo codes, credits, invoicing, dynamic pricing, team roles and AI briefing, are Premium features. Set up whatever your plan includes and skip the rest.
🧰 Before you start
Create your Podyx admin account. The 30-day free trial needs no credit card.
Choose your plan and how you will collect payment (Stripe, Square, or Pay Later) at signup. This sets your pricing and fees.
Log in to the CMS, your Admin Panel.
Sketch your studio on paper first: your rooms, your setups (the scenes clients actually book), your services and add-ons, and their prices.
Set your currency in Settings, Payment before you price anything.
Have your assets ready: logo, brand colors, terms and conditions text, and for card payments a Stripe or Square account.
⚠️ Lock your currency in before you price services. Changing it afterwards means redoing every amount.
🏢 Phase 1: Studio profile and general
1. Studio Profile
Enter your studio name, address, contact details and website.
Set your timezone and your date and time formats.
Set your tax rate, tax label, and whether tax shows throughout or only at checkout.
🚪 Phase 2: Rooms and setups
2. Create your Rooms
Add each physical space and give it a clear name.
Add the address so the map preview works.
Connect each room to a Google Calendar, a dedicated sub-calendar per room is cleanest. The sync is two-way.
💡 The key rule: when one setup in a room is booked for a slot, the whole room and its other setups close for that slot. That is what makes double-booking a single space impossible.
3. Build your Setups
Name each setup and assign it to the right room or rooms.
Set the total seats available in that setup.
Link the base services and add-ons it offers. Come back to this once you have created them.
After you click Save and Publish, the image field appears. Add photos or GIFs as previews.
4. Studio Tour (optional)
Set up a guided tour as the visual entry to your booking flow, so first-time visitors see the space before they book.
🧩 Phase 3: Services and pricing
5. Add Base Services
Define each session's name, price, and short and long description.
Use the highlight label to put a marketing frame or slogan around a service.
Attach recommended upgrades, the optional pop-up add-ons at checkout.
6. Add Additional Services (Add-Ons)
Name and describe each add-on.
Set a minimum quantity where it applies.
Mark each as publicly visible or admin-only.
Set the price unit: per session, per hour, per booking, or custom.
Link add-ons to the setups where they should appear.
⚠️ Go back to your setups and attach the base services and add-ons, or they will not show in the booking flow.
🕒 Phase 4: Availability and booking rules
7. Set your Availability
Define your weekly open hours, for example Monday to Friday, 10am to 6pm.
Add exceptions for holidays and special closures.
8. Set your Booking Rules
Set minimum session duration and booking increments.
Set your buffer time, the gap kept after a session for turnaround.
Set your cut-offs: how far ahead people must book, and how late they can cancel or reschedule.
Add booking notes, optional or mandatory, shown before checkout.
💡 Any of these can be overridden on a specific room or setup, so a delicate room can keep a longer buffer without changing your defaults.
💳 Phase 5: Payments, tax and invoicing
9. Connect Payments
Connect Stripe or Square, or enable the Pay Later request flow.
Confirm your currency and tax display correctly at checkout.
10. Set up Invoicing
Fill in your company details, tax label and footer note.
Set your numbering format: prefix, series, starting number, annual reset.
Add any custom billing fields, such as a client VAT number, collected at checkout.
⚠️ Invoice numbering locks the moment your first invoice is issued and cannot be changed afterwards. Get it right before you go live.
11. Know your refund rules
A money refund is always the full amount, and an admin can issue one at any time.
A client who cancels before your cut-off time is refunded in full automatically.
To give back only part of an amount, issue store credit. Podyx does not do partial money refunds.
The payment processing fee is not returned when a booking is refunded.
🎨 Phase 6: Branding and your booking page
12. Appearance
Upload your logo and favicon.
Set your brand colors, font, and light or dark theme.
Choose your button corner radius.
Upload your email banner so client emails are branded too.
13. Landing Page
Set your hero image and headline.
Add a short elevator pitch and how-to-book instructions.
Set separate cover images for desktop and mobile.
Drag your sections, setups, bundles and subscriptions, into the order you want, leading with what you most want to sell.
14. Custom Domain
Point booking at your own web address so the experience stays on your brand.
15. Terms and Conditions
Add your full long terms and your short checkout terms.
Confirm both appear at checkout. Clients must accept both before paying.
16. Marketing
Set your website title, the browser tab name, and SEO description.
Add your share image for when the page is posted.
Add your Google Tag ID for analytics, and your social links for the footer using full URLs.
✉️ Phase 7: Notifications and automation
17. Automated Emails
Review the system emails Podyx already sends: confirmations, reminders, receipts. Edit their wording.
Create your own custom emails: Reminder, Follow-up, Re-engagement, and Subscription cancellation.
💡 Pair a Re-engagement email with a promo code, "we miss you, here is 15% off," as one of the cheapest ways to bring quiet clients back.
18. AI Briefing
Enrich your client and guest profiles with private notes, background, social and podcast links.
Set a daily briefing schedule so your morning email covers the day's bookings, client preferences and guest details.
19. Integrations
Confirm your Google Calendar two-way sync is live.
Connect Zapier, triggers and actions, to wire Podyx into Notion, Slack, email and more.
20. Embed
Embed your setups, services, add-ons or bundles directly on your own website.
🎁 Phase 8: Revenue features
21. Bundles
Create one or more bundles with names and descriptions.
Use the highlight label to give each a marketing frame.
Set the session duration and what is included per session, base service plus add-ons.
Create tiered packages, for example 3, 5, 10 sessions.
Image fields appear after Save and Publish. Use bundle landing pages in your campaigns.
22. Subscriptions
Anchor a recurring plan on a base service and set its session duration.
Offer multiple tiers, and include per-session or one-off add-ons that justify the higher tiers.
Set the billing cycle and configure rollover for unused sessions.
23. Promo Codes
Create a code and pick the discount type: percentage, fixed amount, or free session.
Scope it to specific setups, services and bundles.
Set an expiry window, and use partner codes as a trackable affiliate channel.
24. Credits
Learn the credit ledger: issue credit as a smarter alternative to a refund, and as a loyalty or affiliate reward.
Every add and use is tracked, so how much a client has left always has a clean answer.
25. Dynamic Pricing
Build rules: peak surcharge, off-peak discount, duration, VIP or specific customer, and loyalty.
Set precedence by dragging rules in the Pricing Rules tab. The rule nearest the top wins.
Use the Slot Override button at the top right for a rule that overrides everything else on a single slot.
🧑🤝🧑 Phase 9: Team and oversight
26. Invite your Team
Invite your operators and staff, and assign each a role and permissions.
27. Security
Set how much access Podyx support has to your CMS: full, read-only, or none. Keep it narrow and open it only when you need help.
28. Get to know your daily tabs
Calendar, Sessions (your operational record) and Purchases (your financial one).
Conflicts, Clients, Guests and Slot Blockers.
Dashboard analytics for revenue and utilization, and the Audit log for who did what.
🚀 Phase 10: Test and launch
29. Run a full booking test
Book by date, by setup, and via a bundle.
Try it both logged out and logged in as a client.
Use Stripe test mode or the Square sandbox for the payment.
Reschedule and cancel as a client, and issue a refund, full money and a partial one as credit.
Check the email confirmations and the calendar invites land correctly.
💡 Almost every setup problem studios report would have been caught by one full test booking. Do not skip it.
30. Publish your booking page
Choose how to share it: standalone URL, embedded, or a hyperlinked button.
Put it on your website, your socials and your DMs, and watch the bookings come in.
31. Your first week
Keep an eye on the Conflicts tab, check your Dashboard, and read your daily AI briefing.
