How to Add FreeFlow Software & Professional Services to a Proposal (Sales Reps & Production Overlays)

FreeFlow products — including FreeFlow Core, FreeFlow Vision Connect and FreeFlow Makeready — are treated as production software.
Because of this, just like other production‑related items, they must be added by a Production Overlay. Sales Reps request the addition through a Production Request.

For Sales Reps:

1. Open the Proposal & Go to the Requests Tab to create a New Production Request

Navigate to the proposal where FreeFlow software is needed and click the Requests tab.

  1. Click New Request.

  2. Select Production from the dropdown.


2. Complete the Production Request Form

A panel will slide out with required fields:

  • Production Rep
    Choose the Production Overlay who will assist.

  • Description of Production Requirements
    Describe the FreeFlow software to be added making sure to outline any additional optional modules/license required with the Base software. For example:

    • “Add FreeFlow Core with Advanced Automation Module”

    • “Add FreeFlow Makeready with Set Labeling License”

This ensures the Production Overlay selects the correct item/version.


For Production Overlays: How to Add FreeFlow to a Proposal

1. Open the Proposal Assigned to You

Open the proposal that includes the Sales Rep’s Production Request.


2. Navigate to the Equipment Tab

Click on Equipment, then select Add Item.


3. Select Production Equipment Software

Scroll through the categories and select Production Equipment Software.
This category houses all FreeFlow software configurations.

Select the appropriate FreeFlow software configuration/option based on the Sales Rep’s request.


4. Add the Item & Save

After selection, the software will be added to the equipment list as a standard production equipment addition.


5. Service Item Configuration

Once you add the item to the equipment tab it will automatically pull over to the service tab. The annual service payment is now going to be set up to bill monthly at the region's pre-determined price.


6. Complete the Production Request

Once all items have been added you will go to the Requests tab, click the 3 dot action button. Click Edit and then Acknowledge the Production Request so it will close out.


Adding Professional Services for FreeFlow

Professional Services related to FreeFlow software (e.g., analyst support, installation services, workflow configuration, etc.) cannot be priced in PREO. These services must be quoted by Production Software Implementation Services (PSIS) and added as an Additional Expense.

If your order includes Professional Services, you must obtain a Statement of Work (SOW) from PSIS and attach the SOW to the order. The customer is required to sign the SOW as part of the approval process.


Step 1 — Engage PSIS for Professional Services Pricing & SOW

The process begins by engaging the Production Software Implementation Services (PSIS) team through the Xerox Global SDCOE Resource Engagement Portal, found in:

XBS Americas Resource Engagement Portal → PSIS → Submit a Request

When submitting your request:

  • Specify the FreeFlow software and the type of services needed.

    • Standard services include installation and training.

    • Custom Professional Services include services tailored to specific client requirements.

  • PSIS will provide:

    • A formal quote, and

    • A Statement of Work (SOW) required for the order.

Important:
The customer must sign the SOW, and the signed copy must be attached to the order in PREO.


Step 2 — Upload the PSIS Quote & Signed SOW to the Document Center

Once you receive the PSIS quote and SOW:

  1. Open your proposal in PREO.

  2. Navigate to the Document Center.

  3. Upload:

    • The PSIS quote, and

    • The signed SOW from the customer.

  4. Label both documents clearly for audit and approval visibility.


Step 3 — Navigate to the Expense Tab

Within your proposal:

  1. Click the Expenses tab.

  2. Scroll to the Additional Expense section.


Step 4 — Add a New Additional Expense

  • Click New.

  • A pop‑out window will appear showing available expense categories.


Step 5 — Select “Other” and Add the FreeFlow PS Line

  1. Scroll down to the Other category.

  2. Choose FreeFlow Professional Services.

  3. A free‑form field will appear for pricing input.


Step 6 — Enter the Professional Services Amount

  • Enter the exact dollar amount from the PSIS quote.

  • Click Save or Apply.
