How to Create an Accessory‑Only Deal in PREO

This guide walks Sales Representatives through adding an accessory to a device already installed in the field — without selling or delivering a new mainframe.

📌 When to Use This Process

Use the Accessory Only workflow when:

  • A customer has an existing device already delivered (ex: C8255, C8245, etc.)

  • You need to add an additional item such as a fax kit, finisher, or other accessory

  • You do not want to order or deliver a new mainframe

NOTE: Accessory only order types MUST be built under the "Legacy XBS" service offering type.


Step‑by‑Step Instructions

1. Go to the Equipment Tab

From inside your proposal:

  1. Navigate to the Equipment tab.

  2. Click Add Item.


2. Choose How You Will Find the Device

There are two methods depending on the device type.

Method A — For Current/Active Models

If the mainframe that you're trying to add an accessory onto is in the Price Book:

  1. Go to the equipment tab and click "+ Add Item"

  2. Use the search function to search the MAINFRAME you're trying to add an acccessory on.

  3. Select the device from the search results.

Method B — For Older/Non‑Standard Models

If the device is NOT active in today’s Price Book:

  • You will typically use the 3rd party item add process. You'll go to the XRX- Non-Pricebook Item (if it's a Xerox machine) or go to the NX- Thrid Party Item (if it's a non-Xerox device).

  • Verify accessory compatibility through device specifications and internal resources before registering a third-party accessory.


3. Open the Options for that Device

Once you’ve selected the machine:

  1. Go to the Feeding/Finishing/Technology Options tab.

  2. Scroll to locate the accessory you need (ex: One‑Line Fax) and add it.


4. Enable the Accessory Only Toggle

This step is the key.

Under the build summary, you will see:

  • A toggle labeled Accessory Only

  • By default: OFF

To sell ONLY the accessory:

  1. Switch Accessory Only → ON

What this does:

  • Removes the mainframe from the order

  • Keeps only the accessory items you selected

  • Prevents creating an order for a duplicate machine

  • Ensures the quote builds correctly as an Accessory Add‑On


6. Complete the Proposal as Normal

After the accessory‑only configuration is set:

  • Continue through pricing, requirements, and submission

  • Add notes for Order Processing if needed (ex: “Accessory add to existing C8255 on site”)

  • Submit the proposal for workflow approval
