Roles and who can do what
There are three roles:
Owner: full access. Owners can manage the team, change anyone’s role, and make other people Owners. A company can have more than one Owner.
Admin: can do everything an Owner can except assign the Owner role. Admins can invite people, remove members, and promote Members to Admin.
Member: manages their own account and notification preferences only. Members can see the team list but can’t make changes.
Viewing your team
Go to Settings → Team. You’ll see a single list showing:
Active members: name, email, and a role badge (Owner, Admin, or Member).
Pending invitations: the invited email address with an Invited badge. These are people who’ve been invited but haven’t created their account yet.
Inviting team members
On the Team page, click Invite. The “Invite your team” window opens.
Enter one or more email addresses. To invite several people at once, separate the addresses with commas.
Choose the role to apply to everyone in this batch - Admin or Member (new invites default to Member.)
Click Invite.
Each person receives an invitation email reflecting the role you chose. They’ll appear in your team list straight away with an Invited badge, and become active members once they follow the link and create their account.
A few things to know:
You can invite people outside your organisation. An invitee’s email doesn’t need to match your company’s domain - a personal address such as a Gmail account works fine. Anyone whose email is outside your organisation will show an External badge next to their name in the team list.
Everyone in a single invite gets the same role. To invite an Admin and a Member, send two separate invites.
If an address already belongs to an active member, that person is skipped and you’ll see a note in the window (e.g. “Lisa is already a Member”). Any other valid addresses in the same batch are still invited.
Invitations expire after 30 days if they aren’t accepted. You can resend at any time.
Resending an invitation
Find the Invited row in the team list.
Open the actions menu (the … icon) on that row.
Choose Resend invite.
A fresh invitation email goes out to that address.
Revoking a pending invitation
Find the Invited row in the team list.
Open the actions menu and choose Remove from team.
Confirm in the prompt that appears.
The invitation is cancelled, the row disappears, and the original invite link stops working.
Removing a team member
Owners and Admins can remove an active member:
Open the actions menu on that member’s row.
Choose Remove from team and confirm.
The person immediately loses access to Programa and any projects they’re assigned to. Their past activity - quotes responded to, products added, and so on - stays intact; only their access is removed.
Changing someone’s role
Use the role control next to a person’s name to change their role. Changes take effect immediately.
Owners can set anyone to Owner, Admin, or Member.
Admins can promote a Member to Admin, but can’t assign the Owner role or change an Owner’s role.
Only an Owner can make someone else an Owner. You can have as many Owners as you need.
Important rules for owners:
You can't change your own role. Another Owner must do it for you. For example, if you want to step down from Owner to Admin, another Owner needs to make the change. If you're the only Owner, first promote someone else to Owner so they can update your role.
Your company must always have at least one Owner. If you're the only Owner, assign the Owner role to someone else before your own role can be changed.
