Managing Clients in ProgressionLIVE

Learn about the information available in a client record and how to modify it.

Overview

Each client record in ProgressionLIVE contains all information associated with that customer, including contact details, taxes, language preferences, history, locations, and more.

This article explains the different fields and tabs available in a client record and how they are used.




Columns and Display

  • Each column in the customer list displays a specific piece of information (e.g., name, address, phone number).

  • By default, the following columns are displayed:

    • Type

    • Name

    • Address

    • City

    • Postal Code

    • Phone

    • Email

    • Tax

    • Language

  • Column visibility can be customized to fit your needs.

  • Double-click a customer to open the full customer record and access all tabs and fields.



General Tab

Main Fields

  • Name : The customer's name.
    Note : Two customers cannot have the same name.

  • Type : Determines which information sections are displayed in the customer record.
    For example, a Confirmation section may contain the On the way (Cell #) field.

  • Language : Controls the language used for communications sent to this customer.

  • Price list (optional) : Automatically applies a specific price list to tasks associated with this customer.

  • Discount % (optional) : Percentage discount automatically applied to all task items for this customer.

  • Tax (optional) : Allows you to assign a specific tax profile different from the default tax.

  • Note : Used to record internal notes about the customer.

  • Display note : When enabled, a pop-up window appears whenever the customer is selected within a task.
    Available on the web platform only.

  • Do not require mandatory signature : Disables the signature requirement when changing task statuses for this customer.

  • Disabled : Deactivates the customer record (see below).



Address and Contact Information

This section contains:

  • Address

  • Phone number

  • Email address

  • Other contact information

Auto-Complete

The auto-complete feature automatically geolocates the customer.

Additional options include:

  • View on Map – Displays the customer's location on a map.

  • Position – Allows you to manually adjust the geographic location.

  • Delete – Removes the geolocation data.

Note: To display a disabled customer, enable Show Disabled Items in the customer list.



Confirmation Section

This section contains the On the way (Cell #) field, which is commonly used in automations.

Example : This field can be used to automatically send an SMS notification to the specified phone number when an employee changes a task status to En Route.

Tip : You can add additional custom fields to collect customer-specific information and use that data in automations.



Locations Tab

Displays all locations associated with this customer.

Each location can be opened and modified directly from this section.




Assigned Employees Tab

Displays the employees linked to this customer.

This section allows you to control which employees can interact with the customer.

Examples of Use

  • Mobile app: If the option "11 – Filter Customer Search with Assigned Employees" is enabled, only assigned customers will be available when creating tasks.

  • Timesheet : Assigned employees can only clock in and out for customers to whom they are assigned. By default, all customers are accessible unless this restriction is configured.




Equipment Tab

Displays all equipment associated with this customer.



Attachments Tab

Allows you to store and view attachments within the customer record, such as:

  • Contracts

  • Photos

  • Reference documents



Task History Tab

Displays all tasks associated with the customer in chronological order.




Recurrence Tab

Lists all task recurrences associated with this customer, such as:

  • Weekly maintenance visits

  • Scheduled inspections

  • Preventive maintenance programs



History Tab

Displays the history of every change made to the customer record.

To view change details:

  • Click the + symbol on the left side of a row, or

  • Double-click the row.



Comments Tab

Contains all comments recorded within the customer record.



Disabling a Customer

A customer can be disabled to remove them from the main customer list without deleting their data or history.

To Disable a Customer

  1. Open the customer record.

  2. Check the Disabled box.

  3. Click Save.

To Display a Disabled Customer Again

Enable Show Disabled Items in the customer list.



Frequently Asked Questions (FAQ)

Can I permanently delete a customer?

No. Customers cannot be permanently deleted. They can only be disabled so that their history and associated data are preserved.


How do I send communications in the correct language?

Check the Language field in the General tab.

This setting determines the language used for emails, notifications, and other communications sent to that customer.
