Print Template Configuration

Learn about the different blocks available in print templates and how to configure each one.

Overview

ProgressionLIVE print templates are PDF presentation documents that can be sent to your customers or used internally as a task summary. The Print Template module allows you to configure these templates yourself.

Templates are composed of blocks (task information, address, logo, timesheet, etc.). Each block can be added, configured, rearranged, or removed to adapt the layout to your needs.

  • Each block can be removed by clicking the red X in the upper-right corner of its preview.

  • To open the configuration panel (on the left), simply click on the desired block.

This article explains the various functions and configuration options available in the Print Template module.


Task Information

The Task Information block displays task properties.

General

  • Title – Corresponds to the title text displayed in the preview (e.g., "TEST TASK TYPE") and will be replaced by the task type name (Service Call, Installation, etc.).

    • An advanced option in the print template configuration allows you to automatically replace the task type name with "Invoice" and display the invoice number from your accounting system (through an integration or API).

  • Content – Layout options for the block content.

  • Use specific colors – Allows you to customize the text and background colors of the block.

  • Show rows without values – If enabled, property names are displayed even when no data is entered.

  • Column width – Controls the spacing between field labels and their values.

Property Display and Order

  • The list displays the visible properties and allows you to add any property associated with the selected task types.

  • The pencil icon opens the property editing window.

  • The trash can icon removes the property from the list.

  • Property order can be changed using drag-and-drop.

Adding a Property

Click Add Property to open the configuration window:

  1. Select the property group containing the data to display.

    • The Basic Information section contains information common to all task types.

    • Other groups correspond to properties configured within the selected task type.

    • If only Basic Information is available, verify that at least one default task type is selected in the general settings.

  2. Select the custom field to display.

    • All property groups and properties from the selected task type are available, even if they are disabled.

  3. Configure:

    • Display label – Replaces the field name with custom text.

    • Value to display when empty – Displays a default value if the field has no value.

Important: If Show rows without values is disabled but a Value to display when empty is defined, the row is still considered filled and will be displayed.


Address

The Address block displays an address from various sources.

General

  • Title – Layout options for the block title.

  • Content – Layout options for the block content.

  • Address Type – Source of the address:

    • Customer – Customer address.

    • Location – Task location address.

    • Work Site – Location address if available; otherwise, the customer address.

    • Company Address – Address configured under Configuration > Company Information.

Display Options for Customer, Location, and Work Site

  • Show phone number

  • Show email address

  • Show contact information

  • Display the company name

  • Display the company address


Logo

The Logo block displays one or more logos.

General

  • The block is added with one row and one column containing the selected company logo.

  • For each row:

    • You can increase the number of columns to display multiple logos side by side.

  • You can add multiple rows, each with a different number of columns.

  • The pencil icon opens the image editing window.

  • The trash can icon removes a logo from the row.

  • The red X removes the entire row.


Timesheet

The Timesheet block displays time entries recorded in the task.

General

  • Title – Title layout settings.

  • Date Format – Date display format.

  • Time Format – Time display format.

  • Duration Format – Duration display format.

  • Allow page breaks – Allows the block to continue onto another page.

  • Alternate row colors – Alternates row background colors for readability.

Display and Column Order

  • Each column is represented by a draggable rectangle.

  • Available columns can be moved to Used Columns and vice versa.

  • Each column includes a size menu:

    • Very Small to Very Large

    • or Flexible (adjusts based on data and other columns).

It is recommended to experiment with a mix of fixed and flexible column sizes to achieve the desired layout.


Equipment

The Equipment block displays equipment associated with the task.

General

  • Title – Title layout settings.

  • Allow page breaks – Allows the block to continue onto another page.

  • Alternate row colors – Alternates row background colors.

  • Display section even when empty – Displays the section title even if no equipment is listed.

  • Sort by name – Displays equipment alphabetically instead of by creation order.

Display and Column Order

  • Each property is represented by a draggable rectangle.

  • Available columns can be moved to and from Used Columns.

  • Each column includes a size setting (Very Small to Very Large or Flexible).

Custom Field Display

  • Column width – Controls spacing between field label and value.

  • Show custom fields without values – Displays empty fields.

    • During configuration, all fields are visible in the preview.

    • In the final PDF, fields only appear if they contain data unless this option is enabled.

  • Display in 2 columns – Displays data in two columns instead of one.

  • Sort custom fields by columns – Determines display order by column or row.

  • Hide labels – Hides field names and displays only the values.

Adding Custom Fields

  1. Select an Equipment Type (e.g., Equipment).

  2. Select a Property Group (e.g., Details).

  3. Click + to add a section containing the group's fields.

  4. Select the fields to display based on the option chosen below.

Display Options

  • Hide Fields – Selected fields will not be displayed.

    • New fields added to the group will automatically appear in the template.

  • Show Fields – Only selected fields will be displayed.

    • New fields added to the group must be added manually.


Items / Invoice

The Items / Invoice block displays task items (parts, labor, etc.).

General

  • Title – Title layout settings.

  • Allow page breaks – Allows the block to continue onto another page.

  • Show totals – Displays subtotal, taxes, and total below the table.

    • If Display as Invoice is enabled in the template settings, this option only applies up to the invoice display step.

  • Alternate row colors – Alternates row background colors.

  • Display section even when empty – Displays the header even if no items exist.

Display and Column Order

  • Each property is represented by a draggable rectangle.

  • Available columns can be moved between Available Columns and Used Columns.

  • Each column includes a size setting (Very Small to Very Large or Flexible).

Custom Field Display

  • Column width

  • Show custom fields without values

  • Display in 2 columns

  • Sort custom fields by columns

  • Hide labels

By default, no item type selection is required in the Custom Fields section.


Custom Fields

The Custom Fields block displays one or more pieces of information from the task.

General

  • Title – Title layout settings.

  • Content – Content layout settings.

  • Allow page breaks – Allows the block to continue onto another page.

Choose a Custom Field Group

  • The dropdown menu displays all property groups available for this template.

  • Basic Information is always available regardless of task type.

  • To display another group, at least one task type must be selected in the template settings.

Display Mode

Single Display

  • Displays one field only.

  • The block title becomes the selected field name.

  • The block content becomes the field value.

  • Display the field even if it has no value – Forces display even when empty.

Multiple Display

  • Allows multiple fields within the same block.

Available options:

  • Column width

  • Show custom fields without values

  • Display in 2 columns

  • Sort custom fields by columns

  • Hide labels

  • Alternate row colors

Custom Field Display Methods

Show Fields

  • Only selected fields are displayed.

  • New fields added later must be manually added to the template.

Hide Fields

  • Selected fields are hidden.

  • New fields added later automatically appear in the template.



Signature

The Signature block displays signatures recorded in the task.

General

  • Title – Title layout settings.

  • Signature Source

    • Customer Signature – Saved in the task's Signature tab.

    • Employee Signature – Saved in the employee record (via the mobile application).

  • Signature Size – Very Small to Very Large.

  • Show name – Displays the signer's name under the signature.

  • Display section even when empty – Displays the header even if no signature exists.



Spacing

The Spacing block adds blank space within the template.

  • Spacing Row – Determines the height of the blank space.



Page Break

The Page Break block forces a new page to better organize the print template.



Terms and Conditions

The Terms and Conditions block displays fixed text entered directly into the template or selected from saved text.

General

  • Title – Title layout settings.

  • Content – Content layout settings.

  • Allow page breaks – Allows the block to continue onto another page.

Editing Saved Text

  1. In Print Templates, click Terms and Conditions in the top-right corner.

  2. If no text exists, click + to create one.



Task Attachments

The Task Attachments block displays photos saved within the task.

General

  • Title – Title layout settings.

  • Allow page breaks – Allows the block to continue onto another page.

  • Show image titles – Displays image names below each image.

  • Number of columns – Determines how many image columns are displayed.



Library Images

The Library Image block displays images uploaded to the File Manager.

General

  • Title – Title layout settings.

  • Show image titles – Displays image names below each image.

  • Allow page breaks – Allows the block to continue onto another page.

  • Number of columns – Determines the image layout.

Library

  • Add Image – Opens a menu allowing you to:

    • Select an existing image

    • Upload a new image

  • Each image size can be adjusted individually.



Custom Text

The Custom Text block displays static text or text enriched with task data.

General

  • Title – Title layout settings.

  • Content – Content layout settings.

  • Allow page breaks – Allows the block to continue onto another page.

  • French / English Text – Fields where you can enter the content displayed in each language.

Insert a Property into the Text

Task data can be dynamically inserted into the text:

  1. Click Insert.

  2. Select the desired entity.

  3. Select the property group containing the data.

  4. Select the field whose value should be displayed.

  5. (Optional) Specify a default value if the selected field is empty.
