CSV Importer Guide

Instructions for using ProLine CSV Import tools for importing contacts, projects, and more.

ProLine's CSV import tools can be found here, or by opening the hamburger menu (upper left) inside the ProLine dashboard > Import Tools.

ProLine currently supports importing the following types of data via CSV:

  • Contacts

  • Projects

  • Activity

  • Files

  • Price Lists

Important Note: When importing multiple types of data, especially when that data is interrelated, it is recommended that you do so in the order of the data types listed above (moving from top to bottom). This is because objects lower on the list require referencing objects higher on the list so they can be connected inside ProLine once imported. The only exception to this is Price Lists, which don't require any referencing to import.

Follow these steps for each type of data you import:

Step 1: Choose the CSV import tool for the data you are importing.

  • Import Contact

  • Import Projects

  • Import Activity

  • Import Files

  • Import Price List

Step 2: Prepare your CSV file

  • A sample CSV file is available for every type of data. Click "New Import" and then click to download the "Sample.csv" file in the upper left-hand corner.

  • Ensure that your data is organized in a .csv (Comma-Separated Values) or .xlsx (Microsoft Excel) file format.

  • Each row in the file should represent a single record, and each column should contain a specific data field.

  • Make sure your CSV file follows the correct format, with the correct column headers, and does not contain errors or inconsistencies.

  • When importing Contact or Project data, make sure to include each record's unique ID (from the system you exported the data from) in the external ID column. This is required for successfully importing and connecting other related records.

  • Make sure records contain the proper ProLine ID or external ID references.

    • Contact records don't require any references.

    • Project records require a ProLine/external ID matching a previously imported/created contact or must include contact data in the first name, last name, phone, and email fields.

    • Activity records require a ProLine/external ID matching a previously imported/created contact.

    • File records require a ProLine/external ID matching a previously imported/created contact.

Step 3: Start a New CSV Import

  1. Select “New Import” to pull up the upload page for the importer you are using.

  2. Upload your .csv or .xlsx file.

  3. Once uploaded, verify the header row of your file. Click "next".

  4. You'll see a column mapping interface. Make sure all the columns in your file are mapped to the correct template field. Click "next".

  5. You'll see a preview of the data you're importing. Verify it is correct. Click "submit" to start your import.

Step 7: Review the imported data

  • Once the CSV importer has finished importing the data, the results will be displayed on the import tool's page.

  • Take a moment to review the imported data and ensure it appears correct.

  • Go into your ProLine account and check for any formatting or data interpretation errors that might have occurred during the import process.

Step 8: Make necessary adjustments (if required)

  • If you notice any issues with the imported data, such as missing or incorrect values, you may need to make adjustments to the file and import again.

  • Contact ProLine support if you need to bulk delete any incorrectly uploaded data.
