Guide: How to Set Up Quote Templates

This guide breaks down step-by-step how to set up ProLine quote templates to automatically and accurately quote your projects.

This guide walks you through building a custom quote template from scratch in ProLine that can automatically price jobs (exactly how you want it done) and generate stunning quotes that wow customers.

ProLine's pre-built quote templates are a great starting point and can be loaded using the "Import Quote Templates From Library" button in the "Quote Templates" tab of your Company Settings. However, regardless of whether you start from scratch or use a pre-built template, you will still need to review and configure your price list items, quantity calculations, and template settings to match your business.

ProLine has the power to automatically and accurately price jobs exactly how you want them priced, but you do have to put in the work on the front end to learn the ProLine Quote Template system.

Note: If you offer multiple services, you should build quote templates for one service at a time. You can always combine templates for different services later.

IMPORTANT: Setting up quote templates from scratch is difficult and complex. If you do not want to commit at least 48 hours to learn how to do this, we strongly recommend using our pre-built quote templates instead. These can be loaded into ProLine using the "Import Quote Templates From Library" button in the "Quote Templates" tab of your Company Settings.

Step-By-Step Instructions

Step 1. Configure Measurement Fields & Sub-Calculations

For this step, you'll need to navigate to the "Projects" tab of your Company Settings and ensure you have the right measurement fields and sub-calculations for the type of work you want to quote.

Step 2. Build Out Your Price List

For this step, you'll need to navigate to your Price List, which is located in "Price List" tab of your Company Settings. Update and/or add price list items for all material and labor items relating to your project. You can also customize any new item you've added to your price list and attach calculations to it.

💡 Important: Line items can only be modified from the Price List — they cannot be edited directly within a quote template. To update a price list item, navigate to the Hamburger Menu (☰) → Company Settings → Price List.

Step 3. Add Quantity Calculation Formulas

For this step, you'll need to add quantity calculation formulas to all items in your price list. These formulas tell ProLine how many of each item you need for your project based on the values added in the project's measurement fields.

Step 4. Add Quote Template & Template Pages

For this step, you'll need to create a new Quote Template and add Pages to it. This is done in the Quotes Templates section of your Company Settings.

Step 5. Build Out Quote Options & Add-Ons

For this step, you will add your price list items (added/updated in step 3) to your quote template's structures, options, and upgrades as quote line items.

Step 6. Configure Quote Template Settings

For this step, you will configure your Quote Template Settings to control the behaviors and default settings for quotes created with your template.

Step 7. Test Quote Template By Generating & Sending a Quote

For this step, you will test your new quote template by creating, customizing, and sending a quote with it. Make adjustments as needed from there.
