Guide: Automate Sales Follow-up with ProLine

Learn how to automate sales follow-up in your ProLine account to sell more jobs.

Automating sales follow-up is a crucial strategy for increasing sales and closing rates in your business. ProLine allows you to set up automated sales follow-up campaigns that ensure no potential sales fall through the cracks.

The Send Quote Stage setting in your Quote Templates is the key to setting up sales follow-up. Whenever you send a quote, ProLine will automatically move a project into the designated stage. This setup is generally done by default for our default quote templates, but if you're adding new templates, change this setting to the stage of your choice.

Step 1. Configuring Quote Templates' Send Quote Stage

When a quote is sent, the project automatically moves to the designated Send Quote Stage. We want to update this setting to indicate the stage to which we want to automatically send a project once a quote is sent.

To change this setting, navigate to: hamburger menu (☰) > Company Settings > Quotes > quote template settings (pencil icon) > Send Quote Actions.

Step 2. Creating and Customizing Follow-Up Campaigns

Follow-up campaigns in ProLine can be highly customized, allowing you to tailor messages for different types of projects. ProLine comes with pre-written campaigns, but customization is encouraged.

To manage your Campaigns, navigate to: hamburger menu (☰) > Campaigns. From here, you can navigate to a campaign folder to view/edit existing campaigns or create new ones. We'll connect these campaigns back to the Send Quote stage in the next step.

Step 3. Setting Up Stage Triggers For Follow-up Campaigns

Stage triggers control which campaign(s) will run after a project moves to a stage. Specifying trigger conditions will allow you to filter projects and run specific campaigns based on project attributes.

In order to set up triggers for your follow-up stages, click on a stage's gear icon from the projects page. You can also do this from your company settings. Navigate to: hamburger menu (☰) > Company Settings > Stages. Here, you can click on pencil icon > gear icon next to a stage to manage its stage triggers.


Controlling The Follow-Up

Sales reps have control over individual follow-ups, ensuring personalized and effective communication with clients.

  1. Send quotes through the ProLine system to trigger follow-ups.

  2. Using the View Campaigns area to manage/edit/reschedule follow-ups.

In ProLine, automated messages come from the sales rep’s number and email, maintaining a personalized touch and increasing the likelihood of a positive response from clients.
