Step 1 - List Property:
Login to your Propoly white-label software and navigate to the home page. You can do this by clicking on your agency logo on the top left hand corner of your page.
Postcode lookup: When adding a Property use the Postcode lookup, to find your Property faster.
Rent Type: If the property is an HMO, and you are renting multiple rooms, select "Rent per Room" and select the number of rooms available in the Property.
Step 2 - Add Landlord:
After you add a Property you will be asked to Add a Landlord to the property.
If you have previously added a Landlord to the system, use the search box to avoid
having to enter Landlord details again.
If the Landlord doesn't exist on the system already, please provide their basic details and click "Continue"
Step 3 - Create Deal:
If you don't have an offer agreed, you can invite prospective tenants to make an offer on a property in their own time, by clicking "Invite Offer".
If you do have an offer agreed you can proceed directly with creating a Deal, by clicking "Create Deal"
Section 1: Agreement
Tenancy agreement: Select the tenancy agreement to use for this deal
Monthly rental payment: Input the rental amount.
Deposit: Automatically populated based on Monthly Rental payment.
Credit Payment: If you have taken any payment from the Tenant outside the system, you can deduct it from the move-in monies, by providing the amount you would like to deduct here.
Holding fee: It is automatically set to 1 weeks rent.
Payment schedule: Select the payment schedule the tenant will be paying their rent with.
Payment reference: Automatically generated for the Tenant to use when making a move-in monies payment.
Tenancy Term: Select the length of the tenancy term.
Start Date and End Date: Specify when the tenancy should start and end.
Break Clause: If there is a break clause you can select when the Tenant and Landlord will be permitted to break the contract and the notice they are required to have.
Section 2: Options
Bills Included: Select what the Landlord or Tenant are responsible to pay for during the tenancy.
Pet allowed: Select whether the tenancy will permit pets or not.
Furnished: Select whether the property is furnished or not.
Parking Details: Add any parking details to the AST.
Renewal Details: Add any renewal details to the AST.
Add Custom clauses: Add any custom clauses to the AST.
Section 3: Tenancy Control
References done via Homelet: Turn on to use Homelet referencing for this deal.
Agent will sign AST on behalf: In the event the Landlord is unable to sign, you can sign on their behalf by turning this option on.
Agent will manually execute Tenancy Agreement: Turn this on if Tenancy Agreement is happening outside the system.
Is the Landlord paying let only: If you are not doing rent collection for this deal, turn this on to provide Landlord's bank details to the Tenants for future rent payments.
Add Rent Guarantee: Turn this on to select a Rent Guarantee policy for this property. You can choose between a 6 month and a 12 month policy.
Assigned Agent: Select Agent responsible for this deal.
Step 4 - Add Tenants:
Before you can start your deal you must add Tenant(s) to the deal. If you haven't created a Deal by using Invite Offer, you will need to add each Tenant independently
by clicking "Add" under Tenant section.
Simply provide basic details for the Tenant using the form. Any tenant responsible for paying the holding fee or move-in monies must have these toggles turned on. If a tenant requires a reference or a guarantor ensure this is turned on as well.
Step 5 - Start Deal:
Once a deal has a Landlord(s) and a Tenant(s) associated with it, you are ready to start your deal.
