Why Can't My Landlord Sign the Tenancy Agreement?

One of the final steps in the tenancy process is for the Landlord to sign the Tenancy Agreement. In the Propoly platform, this takes place after the Tenant has signed the agreement and paid the move-in monies.

If the system will not allow you or the Landlord to sign the agreement when you would normally expect to be able to, there are several potential causes of this.

Common Reasons and How to Fix Them

Here are the two most common reasons why you or the Landlord may not be able to sign the Tenancy Agreement and how to resolve them.

The Tenant has paid their move-in monies to you or the Landlord directly, instead of using Propoly.

If the tenant has made a payment to your client account directly by a manual bank transfer, instead of using the Propoly platform, then you or the landlord will not be able to sign the Tenancy Agreement until you have confirmed receipt of those monies.

Here's what you can do to fix this issue:

Step 1: Open the Deal

Open the deal that is causing the issue. This can be done by clicking on the deal from your dashboard or by searching for it in the search bar.

Step 2: Scroll Down to the Payment Section

Scroll down to the payment section and locate where it states "I have received monies outside Propoly?"

Click on the link and a new window will open.

Step 3: Confirm Receipt of Move-In Monies

The new window that open will ask you to verify that you have received the money. Please check carefully that you have received all of the monies you require, before proceeding with this option.

Once you are sure you have received the correct funds by an alternative method, please tick the box confirming this:

And then press the teal coloured button labelled "I confirm the Transfer has been received" which will light up.

Now that the system has confirmation that the Tenant has paid their move-in monies, it will allow you or the Landlord to sign the agreement, so the tenancy can be executed.

The Deal Has Been Set Up for the Agent to Sign on the Landlord's Behalf

If the Landlord is expecting to sign the Tenancy Agreement themselves, but have not received a link asking them to sign, the deal might have been set up for the Agent to sign on their behalf. Here's how you can fix this issue:

Step 1: Open the Deal

Open the deal that is causing the issue. This can be done by clicking on the deal from your dashboard or by searching for it in the search bar.

Step 2: Find the "Agent signs on behalf of landlord" toggle

Find the toggle in the Landlord signature box marked "Agent signs on behalf of Landlord".

Step 3: Turn Off the Toggle

Turn the toggle to "No" to allow the landlord to sign the Tenancy Agreement themselves. This will send an email to the Landlord with a link for them to follow, which will allow them to sign the Tenancy Agreement themselves using DocuSign.

And that's it! Your or your Landlord should now be able to sign the tenancy agreement.
