How to change a Tenant into a Permitted Occupier partway through a deal

Sometimes you might find out partway through a deal that one of the Tenants is actually supposed to be a Permitted Occupier. This could happen if, for example, the incorrect information was entered when the deal was being set up, or as a result of one potential tenant failing their referencing.

If you need to change a Tenant into a Permitted Occupier partway through a deal, the good news is that this is really simple. Just follow these simple steps:

Step 1: Click on the Tenant's Name

To begin, find the relevant deal in the Propoly system. All of the current Tenants will be listed on the left hand side. Click on the name of the tenant who is to be removed.

This will bring you to the Tenant's profile in the system.

Step :2 Note the Tenant's email address

Once you have accessed the Tenant's profile, take a note of their email address. You can either copy this to your clipboard (using Ctrl+C) or write it down. You will need this information at a later step of the process.

Step 3: Remove the Tenant from the Deal

Next, close the Tenant's profile, which will take you back to the deal screen. Click on the button that looks like three vertical dots next to the name of the tenant to be removed and select "Remove from Deal". This will remove the tenant from the deal.

Step 4: Confirm the Removal

A confirmation message will appear asking you to confirm the removal of the tenant from the deal. Click "Confirm" to proceed.

Step 5: Add the Tenant as a Permitted Occupier

Now, select "Add+" on the Permitted Occupier section on the left-hand sidebar. You can find this below the Tenant section you were looking at previously.

This will take you to the "Add a Permitted Occupier" screen.

Step 6: Search for the Tenant's Email

From the "Add a Permitted Occupier" screen click on the search bar and enter the tenant's email that you copied in Step 1. This will load all of their details from previously. Check the details to ensure they are correct and make any changes that are required.

Step 7: Click the "Add Permitted Occupier" button

Finally, once you are happy that the information is correct, click on the "Add Permitted Occupier" button at the bottom of the screen. This will add them back onto the deal as a Permitted Occupier, instead of a Tenant.
