When you view a Prospero calendar—whether through a shared link or as an admin—you’ll see a variety of icons and formatting styles that give quick insight into an event’s status and details. This guide explains what each of them means so you can read the calendar at a glance.
Certain icons can be visible wherever the calendar is visible. Other icons are only visible to admin for internal scheduling purposes.
ℹ️ Admin have full control of the information displayed in view links. Some of the icons below may not be visible on all shared view links if they have been removed by admin.
Icons Visible to Admin and on Shared View Links
Icon / Formatting | Meaning |
| Flag: Marks events that need follow-up or attention. |
Italics | Tentative Event: Not yet confirmed. |
| Cancelled EventL Cancelled but kept for reference. |
(Colored Dot) | Resource Indicator: Shows which resource (project, location, etc.) applies, based on your color scheme. |
(Multicolor Dot) | Multiple Resources: Event has several resources. |
No Dot | No Resource Applied: Event has no resource under the current color scheme. |

① ② ③ | Tentative Holds: Show hold priority when there are conflicts (① = first hold, etc.). |
| Pending Booking: Booking submitted but not yet approved. Dashed circle (month), gray dashed border (week/day). |
ℹ️ Admins can customize what colors represent (e.g., by project or location) in their calendar view settings.
