Retroactively bulk edit events tags and other details to customize schedules

Once you've added your core calendar events, you can edit events in bulk to further customize and organize them to create the exact schedules you need.

Create a Custom Schedule from Existing Events

To customize existing events by adding tags or other details, first choose the events you want to modify. For example, if you want to create an actor calendar with several different kinds of events such as rehearsals, costume fittings, cast meetings, etc. you can filter or search for the kinds of events you want to include. Once you've narrowed your events, use Shift/Cmd+ A to select all the events shown. Click Edit and Change Tags, then select the 'Actor Calendar' tag to add the tag to every event selected.

Do this with each type of event you want to include. Then create a view filtering events by the 'Actor Calendar' tag.

The same approach works across any dimension your organization schedules around.

  • Crew and department calendars. Filter the calendar by a role or group such as Costume, select all events with Ctrl/Cmd ⌘ + A, and apply a department tag such as 'Wardrobe Calendar' or 'Lighting Schedule'. Repeat for each team, then save a view per tag.

  • Understudies and covers. When an understudy or cover needs to track only the events where they might be called, filter the calendar by the role or people they're covering, select all with Ctrl/Cmd ⌘ + A, and apply a tag such as 'Cover' or 'Understudy Track B'. Save a view for that tag and share it with the cover directly. As new events are added for that role, tag them in the same bulk pass at the end of each scheduling week so the view stays current without the cover needing to interpret a full company calendar to find the events relevant to them.

  • Production phase calendars. For longer productions, tag events by phase such as auditions, rehearsals, tech, performances, load-in, so that collaborators only see the slice of the schedule relevant to their involvement. Save a view per phase and share it when that phase begins.
