What are the benefits of Email Digests?

For individuals interested in media monitoring, a regular email digest can be a highly beneficial tool as it offers a comprehensive overview of the media coverage received within a specific timeframe. Pulsar's KPI email alerts are designed to notify users when a particular rule has been triggered in a search. Meanwhile, a content email digest provides a summarised report of the collected content from the previous day, week, or month, making it easy to digest. Email digests can be configured for any active search on TRAC, providing insights into media reach, visibility, social impressions, and engagements, ensuring users stay informed on relevant topics and never miss critical information. Overall, email digests serve as an essential tool for anyone interested in media monitoring and staying up to date on media coverage.


How to create a new Email Digest?

To set up a new Email Digest go to Reports section of the left hand side menu, select Email Digests tab, and click the Create Digest button.

You will see the Email Digest form, where you can configure your email digest, including what sort of content you want to receive, your digest frequency, Daily, Weekly, or Monthly, and the time you wish to receive the email digest.

You can choose how the email digest summary and results should be ranked and displayed: by Credibility, Media Reach, Engagements, Social Shares, Impressions or Visibility. Additionally, you can also choose if you want to receive your content grouped by the following variables - Data Source, Outlet Name, Domain URL, Location - Country, Location - City, Author, Sentiment and Emotion.

Lastly, you need to add the email addresses of the users whom you want the email digest to be sent to, and optionally customise the Email Format to reflect your company's branding and colour palette.

📝 Note: Whilst engagements are updated in real-time for some sources like X, it can take up to 12 hours to have a full picture of the number of engagements that a post or news article has received. As such, Social Impressions, Media Reach and Visibility are not calculated in real-time, as they depend on engagements and social shares.

Once you are happy with the set up, click on Create icon to create a new email digest. This will be displayed in your Email Digests list.


How to apply a Filter to an Email Digest

You may tailor your digest to include results from a saved filter, or you can create a new filter and choose to receive a list of posts in your email digest filtered by specific parameters that you specify, such as keywords, specific outlets, specific authors, or specific websites.

Enter the keywords in the filter window, add Filter name, select Save Filter and then Apply Filter.

The applied filter will be displayed on your Daily Digest form and from here, you are able to edit or remove the filter anytime.


Using grouping in Email Digest

Once you have created the filter and decided on the ranking metric for your digest, you have the option to tailor your digest even further by applying grouping rules. Organising content into groups makes reading larger volumes easier to digest, and brings your attention to focus on the most relevant coverage. For example all content with negative and positive sentiment can be grouped together, making it easy to digest the information at hand.

To set up content Groups in your Email Digest form, you simply select an option from the “Group By” dropdown, and select how the content should be sorted and click “Add Group”.

We allow users to create up to three subgroups for more granularity. If we use the below example, the content is firstly going to be grouped by sentiment, and then within each sentiment group organised by data source and outlet name.

Notes: “Sort By” in context of Grouping refers to how the individual groups are going to be sorted in the Email Digest ( A => Z or Z => A). Content within the individual groups will be sorted following the ranking option selected in the previous step.


Scheduling your Email Digest

Once you set up the filter and ranking criteria, and choose how the content in your digest should be grouped, it's time set up the email schedule. We give our users the choice between simple and advanced scheduling settings, to best cater to everyones individual needs.

Simple Settings allow you to to schedule your Email Digest to be sent in regular intervals (Daily, Weekly, Monthly or Quarterly) and select a nominated day for the digest to sent on.

Advanced Settings allow for more granularity when setting up the email schedule. You can choose the repeat frequency ( Daily, Weekly, Monthly), choose nominated days to only receive digest on the weekdays and set for how long digest will continue being sent.


Upload Email Recipients

When you are happy with setting up your Email Digest filter and grouping rules, it's time to add all required recipients. You can add anyone within your organisation to the recipient list, regardless of whether they are a Pulsar user or not.

Pro Tip: If you have a long list of recipients that needs to be added, simply copy and paste comma separated list of email addresses into the "Email Digest to" field and press enter.


Email Design 

Presentation is everything, including your Email Digest design. You can customise your email look to stay on brand, using your company logo or/and header image. If that's not enough, you can choose a custom primary, secondary and link colours that will stay in line with your brand aesthetic.

Before the first email is sent out, you can have a quick look at a preview to make sure the design is to your liking, and make further edits to it as needed.
