Learning Outcomes

  • Understand the concept of archiving searches within TRAC.

  • Recognise the benefits of archiving searches as a best practice.

What does "archiving" a TRAC search entail?

Archiving a TRAC search involves moving it from your active list of searches to a separate "Archived" section. This process enables effective management and organisation of your searches, ensuring that only the most relevant and ongoing searches remain in your active list.

Archiving a TRAC search

There are two ways in which you can archive your searches:

All Searches

You can archive searches from the All Searches page by accessing the search settings and selecting the archive option.

πŸ“ Note: Archiving a search is not possible if it is currently running in real-time.

TRAC Settings

Alternatively, you can archive searches directly from your TRAC settings, which can also be accessed from the All Searches page.

πŸ“ Note: You must have SuperAdmin status to manage your TRAC settings.

Why should I archive any of my TRAC searches?

Regularly reviewing and archiving TRAC searches is advantageous for several reasons:

  • Enhanced Organisation: By archiving completed or outdated searches, you can maintain a clutter-free and well-organised active search list. This makes it easier for you to focus on ongoing and important searches without being distracted by irrelevant or finished ones.

  • Improved Productivity: As you maintain a clean and organised active search list, you can save time and effort by not having to sift through outdated or completed searches. This improved organisation enables you to be more productive and efficient in your work within TRAC.

Restoring Archived TRAC searches

Archiving TRAC searches does not permanently delete them; it merely relocates them to a separate list. You can still access and review your archived searches when necessary, making it convenient to retrieve old searches for reference, analysis, or comparison purposes.

To access your archived searches list, navigate to your TRAC settings via the All Searches page. From there, you can restore any archived search to your active searches list.

πŸ“ Note: Collected posts are stored for two years before being deleted. If you restore an archived search that has been in this status for two years, you will need to re-fetch your data.
