This section allows Agency Admins to access and customize key email templates, ensuring all communications reflect your business’s unique tone and branding.
When you click on that menu, it will redirect you to the following screen.
Email Template Screen Overview
All system-defined email templates are shown by default. The first 10 appear on the first page, but you can change the items per page to view more.
Use the top filter to search across all templates, or the in-grid filter to search within the current page.
Click the eye icon next to a template to view its content.
Creating a Custom Email Template
You (Agency admin) will also now be able to edit the system-defined templates as you wish and then save them. After saving that template, the updated email content will be sent to candidates/clients based on the template you're updating.
To do this you need to select
After clicking "Create," a slider will open, and you will have to select the system-defined template (example: sales invoice) you are going to update and then give the name for it.
You can then update the template as you wish and be able to do the below mentioned things:
Edit the email content in the Template Content box — add, remove, or update as needed.
Use the formatting options to adjust the font as desired.
Click "Add Default Fields" to insert user fields into the content. The selected fields will appear dynamically wherever they’re placed in the content box.
Once a custom email template is created for any section, only the updated content will be used when emails are sent from the system. This is set at the organisation level and cannot be customised per client, supplier, or candidate.
For example, if you’ve updated the Sales Invoice email template, that version will be sent to all clients for sales invoices—replacing the system-defined template. The same applies to other email templates
Once submitted you’ll now see the newly created custom template for sales invoices, titled "Sales Invoice Updated Template". To view the content, click the pencil icon under Actions.
From here, you can either:
Edit the template using the pencil icon, or
Delete it using the bin icon, if it’s no longer needed.
With this Email Template feature, Agency Admins have full control over their communication, ensuring every email reflects your brand’s voice and professionalism seamlessly.
