Settings and configuration for the organisation

Step One - Log-in and click Agency Setup

Go to https://www2.quartzbysapphire.com/auth/login and use your credentials to Sign In

In the main menu, click on ORGANISATION DETAILS to open the Organisation Details area

Step Two - Complete the Organisation Info tab

Click the EDIT button to make changes to the fields, and press SAVE once completed. Red asterisks denote mandatory fields.

Most fields will be pre-filled from the sign-up stage but can be edited here if needed.


Fax Number

Optional – you may enter a fax number here if required
Website

Optional – you may enter a website URL here if required

The information that is captured here loads into the footer of invoices raised within Texas

Step Three - Complete the Reg Office tab

Click the EDIT button to make changes to the fields, and press SAVE once completed. Red asterisks denote mandatory fields.

The information captured on this tab is displayed on Sales Invoices so should be the bank account you plan to receive funds into from your customers.

CAN/ABN/Company Number

Your company registration number


Payment Terms

you must enter in your invoice payment terms, note that these can also be maintained on an individual client level as well

Bank Details

Bank Account name

Name of bank

Bank Account Sort Code

8 digit bank account number

Sort Code/BSB

sort code is usually a 6 digit branch identifier

SWIFT/BIC

Swift number if required (this will typically be required if you receive payments from overseas.)

VAT Number

Company VAT number if applicable


Remittance email

Enter in the email of the shared inbox/individual who is responsible for receiving payment and remittance in your agency. The email address that is entered here is the email that your remittances are sent on behalf of.


Remittance phone: Enter the phone number where your clients should direct their payment queries to.

You can enter additional bank details by clicking 'Additional Bank Details' on the right. However, those entered in Primary Bank Details will be the default.

Step Four - Complete the Rate Details tab

Click the EDIT button to make changes to the fields, and press SAVE once completed.

The rates entered in this section become the rate list available on contractor assignments and displayed on timesheets and invoices. The values of these rates are captured at assignment level.

Rate Name: This field allows you to add in a longer rate description Be mindful of the rate name, as this will be displayed in the Contractor Portal when they are entering in their timesheets, and on your invoices.

Short Name: should be easily recognisable within your agency, should be unique to the specific rate name – this will be displayed on sales reports.

Step Five - Tax Settings

Add in the tax rates that your company deals with, this will allow those to be selected in Client and Supplier records, as well as in the tax override sections. Press SAVE once completed.

Step Six - Complete the Agency Settings tab

Click the EDIT button to make changes to the fields, and press SAVE once completed.

Under Organisation Settings, configure the environment. Customise the logo, record the key user's email address or a generic email address, and if applicable, the Agency custom URL will be displayed here too, make any changes and then press SAVE.

Custom URL

If an Organisation has a custom URL the organisation name can be in the URL to access My Digital Timesheets, and there will be no need for users to enter the Organisation name when logging in.

Bank File Format

This setting configures the file type that will be available once the payment remittance batches have been run. Currently available are:

  • Yorkshire Bank

  • Document and Pay

  • Barclays

  • HSBC

  • Coop FD

  • Natwest

  • Other

‘Document and Pay’ which provides you with the details of the payment to manually raise the payment in your bank if it’s unable to accept bank file imports.
