How Pipelines & Deals Work

Think of a pipeline as a series of stages that every deal moves through — from initial lead to won or lost. Each stage has a probability percentage that reflects how likely that deal is to close, giving you a realistic revenue forecast instead of just a wish list.

Core concepts:

  • Stages — Sequential steps in your sales process (e.g., New Lead → Appointment Set → Quote Sent → Negotiating → Won). Fully customizable — set up the stages that match how your business actually works.

  • Probability — Each stage has a close likelihood percentage. A "Quote Sent" stage might be 50%, while "Negotiating" might be 75%.

  • Weighted Value — Deal Amount × Stage Probability = Realistic Forecast. A $5,000 deal at 50% probability shows as $2,500 weighted value.


Two Ways to View Your Pipeline

Board View (Kanban)

Horizontal columns per stage with deal cards stacking vertically. Drag and drop deals between stages as they progress. Each column footer shows the Total and Weighted deal values for that stage. Deal cards feature gradient backgrounds, priority indicators, close-date chips, and assignee avatars.

List View (Table)

Traditional spreadsheet format with sortable columns. Great for filtering, sorting, and reviewing large numbers of deals at once.


Deal Features

  • Deal Attachments — Attach PDFs and images directly to deals. Store contracts, proposals, photos, or any other documents right on the deal card.

  • Tabbed Deal Preview — Summary and Work tabs organize deal details so you can see the key info without endless scrolling.

  • Internal Notes — Each deal has a dedicated Internal Notes section separate from customer-visible content. Use it for team context, follow-up reminders, or deal background that only your team needs to see.

  • Multi-Assignee Support — Assign deals to multiple team members simultaneously from a searchable dialog in the deal preview.

  • Date Range Filters — Filter your pipeline by date range using preset popups for faster analysis.

  • Drag-and-Drop — Move deals between stages by dragging them on the board view.


Pipeline Analytics

Your pipeline dashboard includes key metrics at a glance:

  • Total Deal Amount — Sum of all deals in the pipeline

  • Weighted Deal Amount — Sum of all deals adjusted by stage probability

  • Open Deal Amount — Value of all active (non-closed) deals

  • Closed Won — Total value of deals you've closed

  • New Deal Amount — Value of deals added in the current period

  • Average Deal Age — How long deals typically sit in your pipeline


Getting Started

  1. Go to the Deals section in your left sidebar navigation.

  2. Set up your pipeline stages to match your sales process.

  3. Create your first deal — add the customer, deal value, and assign it to a stage.

  4. As deals progress, drag them between stages or update from the deal preview.


FAQs

What's the difference between Pipelines and the regular Estimates tab?

The Estimates tab tracks individual quotes you've sent. Pipelines track the overall sales opportunity — a deal might involve multiple estimates, conversations, and touchpoints before closing. Think of Pipelines as the big picture of your sales process.

Can I create multiple pipelines?

You can customize your pipeline stages to match different workflows within a single pipeline view.

Can I assign deals to team members?

Yes. Deals support multi-assignee — you can assign a deal to one or more team members from the deal preview. Great for deals that involve both a salesperson and a crew lead.

What does "weighted value" mean?

Weighted value = Deal Amount × Stage Probability. If you have a $10,000 deal in a stage with 30% probability, the weighted value is $3,000. This gives you a more realistic revenue forecast than just adding up all your deal amounts.

Can I attach files to a deal?

Yes. Deal Attachments let you attach PDFs, images, contracts, or any other documents directly to a deal card.
