GPS Location Tracking

See where every employee is in real-time while they're clocked in. The GPS tracker includes a traffic overlay so you can factor in drive times when dispatching or rerouting crews.

Time Tracker Pro

GPS-based clock in/out system that tracks hours per job, not just per day. Time Tracker Pro is the system of record for employee hours — payroll, accountability, and per-job visibility.

  • Clock in/out — Employees clock in when they start and out when they finish. GPS records their location at each punch.

  • Hours per job — Track how long each employee spends on each specific job, not just their total hours for the day.

  • Break functionality — Employees can log breaks, which are excluded from billable hours. Break counts and durations are recorded and reflected accurately in time entry reports and CSV exports.

  • Complete history logs — Full time tracking history for every employee, searchable and exportable. Redesigned with table view and tabs for easier navigation.

  • Manual time entry edits (admin) — Admins can edit individual time entries from an employee's time tracking history on both the QuoteIQ web app and the mobile app. See "Editing an Employee's Time Entry" below for exact steps.

Time Tracker Pro and Job Costing are separate systems. Time Tracker Pro records employee hours, but those hours do not automatically populate the labor cost field in Job Costing. Labor cost must be entered manually in Job Reporting on every plan, including Elite and Max. You can reference Time Tracker Pro hours when entering labor in Job Reporting, but the entry itself is a manual step. See the Job Costing article for details.


Editing an Employee's Time Entry

Editing time entries is available on the QuoteIQ web app (myquoteiq.com) and on the QuoteIQ mobile app for both iOS and Android. The steps are the same on every device — open Time Tracker, find the entry, use the 3-dot Action menu, select Edit Time Entry.

Use this when an employee forgets to clock out, clocks in late, needs a break corrected, or any other time entry needs adjusting. Only admins (or users with the appropriate permission) can edit time entries.

Step 1: Open Time Tracker

Open QuoteIQ on either the web app (myquoteiq.com) or your mobile app (iOS or Android). Navigate to the Time Tracker section.

Step 2: View the employee's time entries

Find the employee whose time entry you need to edit and open their time tracking history. This shows all their individual clock-in/clock-out entries.

Step 3: Tap the 3-dot menu under "Action"

On the specific time entry you want to edit, tap (or click on web) the 3-dot menu in the Action column on the right side of that entry's row.

Step 4: Select "Edit Time Entry"

Choose Edit Time Entry from the menu. Adjust the clock-in time, clock-out time, or break details as needed, then save your changes.


Sales Team Tracker (Max Plan Only)

Track sales performance and commissions for your team. See who's closing the most deals, what their commission totals are, and how performance trends over time.

The employee overview has been replaced with a dedicated Employees Hub screen featuring a cleaner layout and better access to all team management tools. From here you can quickly access GPS tracking, time entries, sales data, communication, and employee profiles — all from one centralized screen.


Roles, Permissions & Notification Settings

EmployeeHub works with QuoteIQ's granular permission system. You control exactly what each employee can see and do — from viewing the dashboard and creating estimates to managing inventory and accessing financial data.

  • Granular permissions — Control access to every feature: Pipelines, Inventory, Job Costing, EmployeeHub, Client Portal, and more.

  • Permission-Restricted Dashboard — When a team member doesn't have access to the main dashboard, they see a clean set of shortcut cards for the features they DO have permission to access — instead of a blank screen.

  • Employee Notification Settings — Configure notification preferences when creating or editing a team member, directly from the same screen. No need to navigate to a separate settings page, and existing notification settings are preserved when editing.

FAQs

Do Time Tracker Pro hours automatically flow into Job Costing labor cost?

No. Time Tracker Pro and Job Costing are separate systems. Time Tracker Pro records employee hours for payroll and visibility, but those hours do not automatically populate Job Costing's labor field. Labor cost must be entered manually in Job Reporting on every plan, including Elite and Max. You can reference the recorded Time Tracker hours when entering labor in Job Reporting, but the entry itself is a manual step.

How do I edit an employee's time entry (for example, if they forgot to clock out)?

Open Time Tracker on the QuoteIQ web app (myquoteiq.com) or on the mobile app (iOS or Android), open the employee's time tracking history, find the specific entry you want to change, tap the 3-dot menu under the Action column, and select Edit Time Entry. Adjust the time and save. The steps are the same on every device.

Can I edit an employee's time entry from the mobile app?

Yes. Editing time entries works on iOS, Android, and the web app. The flow is identical on all three: Time Tracker → employee's history → 3-dot menu under Action → Edit Time Entry.

An employee forgot to clock out — how do I fix it?

Open Time Tracker on web or mobile, find the employee's open time entry, tap the 3-dot menu under the Action column on that entry, and select Edit Time Entry. Set the correct clock-out time and save.

Is GPS tracking always on?

No. GPS location tracking is only active while the employee is clocked in through Time Tracker Pro. When they clock out, tracking stops. Employee privacy is respected.

Do I need to buy GPS hardware?

No. EmployeeHub uses your employees' phone GPS. No vehicle trackers, hardware, or additional subscriptions needed.

Can employees see each other's locations?

Location visibility is controlled by permissions. Typically only the account owner and managers with GPS tracking permissions can see employee locations.

Can I set commission rates per employee?

Yes. The Sales Team Tracker (Max plan only) lets you configure commission percentages individually for each employee. Performance data and commission totals are trackable with dynamic year ranges and YTD sorting.

Are breaks tracked in time reports?

Yes. Break counts and durations are now recorded in time entry reports and included in CSV exports, so you have full visibility into how break time affects productivity and labor costs.

Can I set up notification preferences per employee?

Yes. Employee Notification Settings let you configure notification preferences directly from the create or edit team member screen. Existing settings are preserved when editing — no accidental overwrites.

What happens if a team member doesn't have dashboard access?

Instead of a blank screen, they see a clean set of shortcut cards for the features they DO have permission to access. This means every employee can navigate directly to their allowed tools without confusion.

Which plans include EmployeeHub?

EmployeeHub core features (GPS Tracking, Time Tracker Pro, and Team Communication) are available on Elite ($299/mo) and Max ($699/mo) plans. Sales Team Tracker, Crew Tracking, Crew Creation, and Crew Scheduling are exclusive to the Max plan.
