When you create an invoice in QuoteIQ, it syncs to QuickBooks. When a customer pays, that payment syncs too. No copying numbers between apps. No missed entries. Your CRM and your accounting software stay in sync.

Customers

Your QuoteIQ customer records sync to QuickBooks Online. When you add or update a customer in QuoteIQ, those changes flow to QuickBooks automatically.

How to Connect QuickBooks

Step 1: Go to Settings

In the QuoteIQ app, navigate to your account settings and find the QuickBooks integration section.

Step 2: Connect Your QuickBooks Account

Tap the connect button and sign in to your QuickBooks Online account. Authorize QuoteIQ to access your QuickBooks data.

Step 3: Sync Your Data

Once connected, QuoteIQ will begin syncing your customers, estimates, invoices, and services with QuickBooks. Future entries sync automatically.

QuoteIQ's QuickBooks integration includes several built-in safeguards to keep your data clean and accurate:

Duplicate Sync Prevention

All four sync functions — customers, estimates, invoices, and services — use atomic transaction locks to prevent duplicate records. If a sync runs while another is in progress, the system prevents double entries instead of creating duplicates.

Auto-Sync Missing Customers

If you sync an estimate but the customer hasn't been synced to QuickBooks yet, the system automatically syncs that customer first and then retries the estimate — instead of silently skipping it.

Smart Customer Matching

The integration uses case-insensitive matching with support for special characters (apostrophes, hyphens, accents) to correctly match existing customers in QuickBooks and avoid creating duplicates.

Convenience Fee Sync

When you charge convenience fees on invoices in QuoteIQ, those fees sync to QuickBooks as well — keeping your revenue reporting accurate.

Sync Lock

A sync lock mechanism prevents duplicate entries that could occur from rapid or overlapping sync requests. Each sync operation completes fully before the next one begins.
