QuickBooks sync not working? Most issues resolve in under five minutes — and most aren't QuoteIQ problems at all. They're rules inside QuickBooks. Run the five checks below, then tap the symptom that matches.
You'll find the sync under side menu → Resources → QuickBooks Sync (same path on mobile and desktop). It syncs four objects — Contacts, Services, Estimates and Invoices — each with its own status and log, and you run it with the Start Sync Now button. New to the integration? Start Here: 5-Check Triage
1. On a plan that includes QuickBooks? Included on Pro ($149.99/mo), Elite ($299/mo) and Max ($699/mo) — not Essentials ($29.99) or Beginner ($74.99). No QuickBooks Sync item under Resources? That's usually why. Upgrade under Resources → Subscription (no per-user fees).
2. Does your user have the permission? Resources → Settings → Users & Permissions → confirm Sync with QuickBooks is on. Owners have it by default; a limited role can't see the screen at all. This is the most common false alarm.
3. Actually on QuickBooks Online? QuoteIQ connects to QuickBooks Online only — not Desktop, and not Solopreneur or Self-Employed (separate Intuit products). Check what you're paying Intuit for.
4. Is the connection still alive? Intuit authorizations expire. If it worked for months then stopped, open Resources → QuickBooks Sync and reconnect your QuickBooks account.
5. Fixing records in the right order? One unsynced contact can fail dozens of invoices behind it. Fix in order: Contacts → Services → Estimates → Invoices. "Forty invoices failed" usually means one contact or service failed.
The Sync Runs One Way
The QuickBooks integration only supports a one-way sync from QuoteIQ to QuickBooks. Any change you make in QuoteIQ is reflected in QuickBooks, but changes made in QuickBooks are not reflected back in QuoteIQ. So make every edit in QuoteIQ; it's your system of record.
#1 misreported issue: "I updated a customer in QuickBooks and it didn't change in QuoteIQ." That's expected — the sync doesn't run that direction. Update it in QuoteIQ and let it push out.
The QuickBooks Sync screen syncs four objects: Contacts (they land in QuickBooks as customers), Services (your price book), Estimates, and Invoices (line items, amounts and convenience fees).

Cause: Plan doesn't include it, or your user lacks permission — either makes the item disappear.
Fix: Check the plan (Pro/Elite/Max — Resources → Subscription). Check the permission (Resources → Settings → Users & Permissions → Sync with QuickBooks). Sign out and back in after a permission change.
On a lower tier? Export Data (every plan) sends contacts, invoices, estimates and expenses to QuickBooks as CSV.

Cause: A connection problem, not data. Intuit tokens expire, and under Intuit's 2026 refresh-token policy every connection now has a maximum lifetime. Three things also kill it instantly: someone disconnected the app inside QuickBooks, the user who set it up was deactivated, or the QuickBooks Online subscription lapsed.
Fix:
Confirm your QuickBooks Online subscription is active and paid.
From Resources → QuickBooks Sync, reconnect your QuickBooks account and sign in again.
Use an owner/admin account that isn't going anywhere — not a seasonal login.
Reconnecting won't duplicate anything — QuoteIQ matches existing records by name and sync locks prevent double-writes.

Cause: The name in QuoteIQ doesn't match QuickBooks closely enough. "Smith Property Mgmt" and "Smith Property Management" are different strings — usually an abbreviation, a missing "LLC", a nickname, or trailing whitespace.
Fix: Merge the duplicates inside QuickBooks (rename one to match; it offers to merge), then align the QuoteIQ name to match character for character.
The trap nobody knows: display names must be unique across customers, vendors AND employees. A supplier saved as a vendor named "Anderson Supply" blocks a new customer of the same name. Check those lists first.

Cause: That record breaks a QuickBooks rule — usually a colon in the name (banned), a duplicate colliding with a customer/vendor/employee, or a field over the length limit.
Fix: Remove any colon (use a dash or parentheses). Move notes out of the name and phone fields. Confirm the name isn't already a vendor or employee, then re-sync.
An estimate or invoice won't sync

Cause: Nine times out of ten it's a dependency — the contact isn't in QuickBooks yet, or a line item points at a service that isn't. QuoteIQ auto-syncs a missing contact and retries, but if that contact is itself failing, everything behind it stalls. Three QuickBooks rules also reject invoices: a closed accounting period, a $0/negative total, or a duplicate invoice number. Sales tax syncs on its own once your tax is mapped to a QuickBooks account at setup.
Fix: Confirm the contact is in QuickBooks, then every service on the document, then retry. Check the date isn't in a closed period, the total is above $0, and the invoice number is unique.

Cause: Item names must be unique, so two "Service Call" entries collide.
Fix: Name each service specifically ("HVAC Service Call"). Check for a same-named item in QuickBooks, including inactive ones.

Cause: The QuickBooks Sync screen syncs four objects — Contacts, Services, Estimates and Invoices — each with its own status and log. "Never Synced" means it hasn't run yet; if one object fails while others succeed, the records that depend on it stall behind it.
Fix:
Press Start Sync Now on the QuickBooks Sync screen.
Watch each object's status — a failure on Contacts or Services blocks the Estimates and Invoices built on them.
Open View Logs on the object that failed (or QuickBooks Status) to see the exact error, fix that record, and run it again.

Cause: Rounding between two tax engines. Not data loss — the invoice posted.
Fix: Match tax rates exactly (same rate, same name). Apply discounts as a line item rather than a whole-invoice percentage.

Cause: Intuit's API rate limits. QuickBooks caps how fast any app writes to one company file, shared across every connected app.
Fix: Sync in stages — Contacts first, then Services, then Estimates and Invoices. Run large historical syncs off-hours. If a batch stalls, wait a minute and press Start Sync Now again (retries are safe).

Expected behavior. The sync runs one way: QuoteIQ → QuickBooks Online. Make the change in QuoteIQ. Keep pure accounting work — chart of accounts, bank feeds, reconciliation, payroll — in QuickBooks.
QuickBooks Rules Behind Most Failures
Rules Intuit enforces on any app writing to QuickBooks Online — not QuoteIQ behaviors:
Display names unique across customers, vendors and employees.
Item names unique in products and services.
Colons banned in names.
Closed periods locked — no backdated transactions inside them.
No $0 or negative sales totals.
Invoice numbers unique.
Tax must be mapped to a QuickBooks account at setup — then sales tax syncs on its own.
Field length limits — QuoteIQ tolerates longer entries.
API rate limits throttle large syncs.
Authorization expires and must be re-established.
QuickBooks Desktop
QuoteIQ syncs with QuickBooks Online only, not Desktop — different integration surfaces entirely. On Desktop you have three options: migrate to QuickBooks Online (turns the sync on immediately), stay on Desktop and use Export Data (CSV, every plan), or use a platform that supports Desktop if that's non-negotiable.
Also not QuickBooks Online: Solopreneur and Self-Employed are separate Intuit products for one-person filers. The sync needs QuickBooks Online (Simple Start, Essentials, Plus or Advanced).
