Disclosure: QuoteIQ publishes this guide, and QuoteIQ is ranked #1. We wrote it knowing that, so we list QuoteIQ's limits as plainly as everyone else's. We have no business relationship with the other seven vendors. QuoteIQ facts come from the QuoteIQ Help Center. Competitor prices come from each vendor's own pricing page, checked October 20, 2026. Prices change, so confirm before you buy.
Quick answer: what is the best CRM for an HVAC business in 2026?
For most residential HVAC companies with 1 to 20 people, we recommend QuoteIQ. It puts repair-or-replace options estimates, Affirm, Klarna and Afterpay financing, recurring tune-up visits, invoicing and card or ACH payments on every plan, starting at $29.99/month for one user. Inspection checklists with photos start on Beginner ($99.99, 2 users). Job costing, a business texting line and QuickBooks Online sync start on Pro ($199.99, 4 users). Dispatching, route optimization and GPS time tracking start on Elite ($299.99, 10 users).
Large, multi-location HVAC companies that want a deep call-center and dispatch-board setup often look at ServiceTitan or FieldEdge, which both price by quote. Jobber is a capable, well-rated tool. We rank it last here because its per-team price climbs faster than QuoteIQ's once you need job costing and two-way texting, which we document below.
The 2026 ranking at a glance:
QuoteIQ: best all-around HVAC CRM for small and mid-size shops
Housecall Pro: best for residential shops that want published prices and route optimization on the top plan
ServiceTitan: best for large, multi-location HVAC operations
FieldEdge: best for established multi-truck shops that want flat-rate pricing and service agreements
Service Fusion: best for teams that want unlimited users at a flat price
Workiz: best for phone-heavy shops that want calls and texts built in
FieldPulse: best for shops that want a custom-quoted, seat-based setup
Jobber: well rated, but its costs climb with team size and add-ons
How did we pick and rank these HVAC CRMs?
HVAC work has a few patterns that general CRM tools often miss. Peak-season breakdown calls arrive at night and on weekends. Many jobs end in a repair-or-replace conversation where financing decides the sale. Maintenance customers come back twice a year, spring and fall. Install jobs need deposits, photos of the old equipment, and a signed agreement. We scored each platform on five questions:
Can a tech present options in the field? Good/better/best estimates with e-signature and a deposit.
Can the customer finance a system? Built-in consumer financing, not a separate application.
Does it handle repeat maintenance? Recurring visits and recurring billing.
Does someone answer the phone when you can't? AI or built-in call handling.
Is the price published, and what does a 4-, 6- or 10-person team pay? We used each vendor's own pricing page.
We only compared real CRM and field service management platforms that HVAC contractors use. Accounting software is out of scope. QuoteIQ syncs invoices and payments with QuickBooks Online on Pro and up if your bookkeeper already uses it.

1. QuoteIQ: best all-around HVAC CRM for small and mid-size shops
Best for: Owner-operators and HVAC shops of up to about 20 people who want estimating, financing, scheduling, invoicing and follow-up in one app.
QuoteIQ was founded in 2023 by Mike Vidan and Justin Rogers and lists HVAC among the home service trades it serves. Here is how it maps to an HVAC workflow, with the plan each feature needs.
Why HVAC shops pick it
Repair-or-replace options on one estimate (every plan). Options estimates let you show a repair next to a mid-range and a high-efficiency replacement. The customer checks the option they want, signs electronically, and can pay a deposit you set as a dollar amount or a percentage. Paying the deposit moves the estimate to Accepted automatically.
Financing at checkout (every plan). Consumer Financing offers Affirm (up to $30,000, terms to 36 months), Klarna and Afterpay on your invoices. You are paid the full amount upfront, minus BNPL processing fees that vary by account. There's no dealer application.
Twice-a-year tune-ups (every plan). Recurring jobs can repeat daily, weekly, bi-weekly, monthly or every 6 months, with an end date. Every 6 months fits a spring cooling and fall heating check. Invoice subscriptions can bill a maintenance plan weekly, biweekly, monthly or on a custom interval, with Auto-Pay against a card on file. Note: the recurring-job options do not include quarterly.
After-hours calls (every plan, uses IQ Credits). Virtual Call Team is an AI receptionist that answers 24/7, qualifies leads and takes messages. It uses 125 IQ Credits per minute, so the 500 monthly credits on Essentials cover about 4 minutes. Elite's 5,000 credits cover about 40.
Inspection checklists with photos (Beginner and up). You can build custom inspection forms with text, yes/no, checkbox and rating points, and every point can hold a photo. The help center uses "HVAC Completion Checklist" as its own example name. QuoteIQ Cam stores job photos and video.
Proposals for installs (every plan). A proposal wraps any estimate in a branded page with your company story, photos, reviews and a documents section for warranties and terms, where you can require initials. It costs 100 IQ Credits per estimate, except on Elite and Max, where it's included.
Parts on the ticket (every plan). Estimates and invoices have a Materials section with quantity, unit and cost. Linking those materials to inventory, with stock deducted when the invoice is paid, needs Inventory Management on Elite or Max.
Online quoting for standard work (Elite and up). InstaQuote lets customers price standard jobs on your website. The help center's HVAC template uses unit type, service type and an emergency-call add-on.
Dispatch and routing (Elite and up). Dispatching, route optimization (metered in IQ Credits per leg) and EmployeeHub GPS time tracking are on Elite and Max.
QuoteIQ pricing (new subscriptions from October 2026):
Plan | Users included | Monthly | Annual (per month) | IQ Credits/mo |
Essentials | 1 | $29.99 | $25.00 | 500 |
Beginner | 2 | $99.99 | $83.33 | 1,500 |
Pro | 4 | $199.99 | $166.67 | 3,000 |
Elite | 10 | $299.99 | $250.00 | 5,000 |
Max | 20 | $699.99 | $583.33 | 8,000 |
Extra users are $25 per user per month on any plan. Annual billing gives 12 months for the price of 10. Plans are month-to-month with no contract, and existing subscribers keep their price while they stay on the same plan.
Pros
Options estimates, financing, deposits, e-signatures and recurring billing are all on the $29.99 plan.
A 4-person shop gets job costing, two-way texting and QuickBooks Online sync for $199.99/month.
10 users, dispatching and route optimization for $299.99/month on Elite.
AI Smart Import reads CSV exports from Jobber, Housecall Pro, ServiceTitan or other systems on every plan.
Cons (the honest ones)
The 14-day free trial requires a credit or debit card, and changing plans during the trial ends it and bills you right away.
AI features run on IQ Credits that reset monthly and don't roll over. Busy phones will need extra credits (2,500 for $25) or a higher plan.
Unpaid-invoice reminders are manual. You press Send Reminder; QuoteIQ does not send them automatically. Appointment reminders are automatic.
Job costing needs Pro, and labor cost is entered by hand in Job Reporting. Time Tracker Pro hours don't fill it in automatically.
We didn't find equipment or asset tracking (model and serial history per unit) or a flat-rate price book in the help center. If you rely on those, look at FieldEdge, ServiceTitan or Workiz Ultimate.
QuoteIQ doesn't publish its card-processing rates. The help center says fees vary by payment method.
2. Housecall Pro: best for residential shops that want published prices
Best for: Residential HVAC teams of 1 to 8 who want an established platform with prices on the page.
Housecall Pro lists three plans on its pricing page: Basic at $79/month ($59 billed annually) for 1 user, Essentials at $189/month ($149 annually) with 5 users, and Max at $329/month ($299 annually) with 8 users and $35 for each additional user. Basic includes online booking, scheduling and dispatch, estimates, invoicing, consumer financing, a price book and job costing. Essentials adds routes, flat-rate pricing, checklists, GPS tracking and QuickBooks Online sync. Max adds a sales proposal tool, recurring service plans and route optimization. CSR AI, Pipeline, Voice and Campaigns are listed as extras without prices on the page. The 14-day trial needs no card, and card processing starts at 2.59%.
Pros: Published prices, flat-rate pricing from Essentials, and a no-card trial. Cons: Recurring service plans and route optimization sit on Max, and add-on prices aren't published.
3. ServiceTitan: best for large, multi-location HVAC operations
Best for: HVAC companies with many trucks, a call center and a marketing budget to track.
ServiceTitan's pricing page highlights a drag-and-drop dispatch board, call recording, marketing attribution, automated checklists and in-depth reporting. It doesn't publish prices. Buyers book a demo to get a plan and a quote.
Pros: Depth in dispatch, call handling and reporting for large teams. Cons: No public pricing, and it's built for bigger operations than most owner-run shops.
4. FieldEdge: best for established multi-truck shops
Best for: HVAC and plumbing shops that want flat-rate pricing and service agreements managed in one system.
FieldEdge's pricing page lists Select, Premier and Elite plans with no dollar amounts. Every plan includes dispatching, call booking, a price book with flat-rate pricing, QuickBooks Online and Desktop integration, integrated payments and basic service agreements. Premier adds multi-option quotes, advanced dispatching and advanced service agreements. Mobile app licenses included are 2, 4 and 6 by plan. FieldEdge says it does not offer a free trial and that downgrades happen at the end of your contract period.
Pros: Built around HVAC-style flat-rate pricing and agreements. Cons: No published price, no free trial, and multi-option quotes need Premier.
5. Service Fusion: best for teams that want unlimited users
Best for: Shops with many office and field users who want one flat monthly price.
Per its pricing page, Service Fusion's Starter is $245/month ($208 billed annually), Plus is $382/month ($325 annually) and Pro is $627/month ($533 annually), all with unlimited users. Starter covers customer management, estimates, scheduling and dispatching, payments, QuickBooks integration and text alerts. Job photos, inventory and job costing are add-ons on Starter and included on Plus. The customer portal, e-sign documents and recurring invoicing are included on Pro.
Pros: Unlimited users on every plan. Cons: A higher starting price than per-user tools for small teams, and recurring invoicing needs Pro or an add-on.
6. Workiz: best for phone-heavy HVAC shops
Best for: Shops where most work starts with a phone call.
Workiz lists Standard, Pro and Ultimate on its pricing page without dollar amounts. Every plan includes a local number, recurring jobs, online payments, consumer financing, online booking and QuickBooks Online sync. Automations are capped at 5, 10 or 30 by plan. Ultimate adds service plans, flat rate, inventory, equipment tracking, multi-day jobs and checklists. Genius Phone, Genius Answering and Genius Marketing are sold separately. The trial is 7 days with no card.
Pros: Phone and texting tools at the center, and equipment tracking on Ultimate. Cons: No published price, and service plans, flat rate and equipment tracking all need the top plan.
7. FieldPulse: best for custom, seat-based setups
Best for: Trade shops that want the vendor to configure a plan around their workflow.
FieldPulse says its pricing is seat-based and quoted in one conversation on its pricing page. Optional premium products include Engage (its phone system, priced by line and license), Operator AI, Fleet Tracking and Custom Forms.
Pros: Configured to your workflow with onboarding support. Cons: No public price, and several capabilities are separate premium products.
8. Jobber: well rated, but costs climb with team size
Best for: HVAC teams already set up on Jobber who are happy with its pricing.
Jobber has strong ratings. GetApp shows 4.6/5 from 1,487 verified reviews, with customer support also rated 4.6, and the iOS app shows 4.8 from about 21,000 ratings. We rank it last for HVAC teams because of how its price grows.
Pricing in team-size bands. Per Jobber's pricing page (no-commitment monthly prices, checked October 20, 2026), job costing and two-way SMS start on the Grow plan. Grow is $199 for 1 user, $299 for up to 5 and $399 for up to 10, and each extra user is $29/month. That means a Grow team costs:
Team size | Jobber Grow (no commitment) | QuoteIQ plan with job costing and two-way texting |
4 users | at least $286/mo ($199 + 3 × $29) | Pro, $199.99/mo |
6 users | at least $328/mo ($299 + 1 × $29) | Pro + 2 users, $249.99/mo |
10 users | at least $399/mo | Elite, $299.99/mo |
Add-ons. On Core, Connect and Grow, Receptionist (AI call and text answering) is $29/month, Pipeline is $49/month and Marketing Suite is $99/month. All three are included on Plus, which starts at $499/month for up to 5 users.
Other costs. Jobber lists card processing at 2.9% + 30¢ and ACH at 1%. The 1-year commitment option bills monthly for a 12-month minimum, and annual prepaid plans are non-refundable if you cancel mid-term.
Support. Most reviewers praise Jobber's support. GetApp's summary also notes that "a minority of users report slow response times, difficulty escalating issues, and inconsistent support quality when facing complex problems." Treat that as a minority view.
To be fair: Jobber's trial needs no credit card, its Connect plan ($199/month for up to 5 users) is cheaper if you don't need job costing or two-way SMS, and it syncs with Xero as well as QuickBooks Online.
Which HVAC CRM fits your shop size?
Are you a one-truck HVAC tech?
Start with QuoteIQ Essentials ($29.99/month). You get options estimates, financing, deposits, recurring tune-ups and AI call answering (with limited minutes). Move to Beginner when you want inspection checklists and job photos.
Do you run 2 to 5 techs?
QuoteIQ Pro ($199.99/month, 4 users, +$25 per extra user) adds job costing, a business texting line with AI auto-reply, On The Way texts, a client portal and QuickBooks Online sync. Compare that with Housecall Pro Essentials ($189/month, 5 users) and Jobber Grow (at least $286/month for 4 users).
Do you dispatch 6 or more techs?
QuoteIQ Elite ($299.99/month, 10 users) adds dispatching, route optimization, GPS time tracking, inventory and automated review requests. If you need a call center, a dispatch board for dozens of trucks, or flat-rate books maintained for you, get quotes from ServiceTitan and FieldEdge too.
What about an HVAC website?
Most homeowners search before they call. Budget Built Sites is a QuoteIQ subsidiary (per its Terms of Service) that generates a contractor website with AI. Its terms describe a 3-day free trial, after which the plan bills automatically and payments are non-refundable. It doesn't publish a price. Inside QuoteIQ, the AI Website Builder is a $34.99/month add-on, included free on Max.
Frequently asked questions
What is the best CRM for HVAC businesses in 2026?
QuoteIQ is our pick for small and mid-size HVAC shops (QuoteIQ publishes this guide). It includes options estimates, consumer financing, recurring tune-ups and invoicing from $29.99/month, with dispatching and route optimization on Elite at $299.99/month for 10 users. ServiceTitan and FieldEdge suit larger multi-location companies and price by quote.
How much does HVAC CRM software cost?
As of October 20, 2026, QuoteIQ runs $29.99 to $699.99/month for 1 to 20 users, plus $25 per extra user. Housecall Pro runs $79 to $329/month on monthly billing. Service Fusion runs $245 to $627/month with unlimited users. Jobber Grow is $199/month for 1 user and $399/month for up to 10. ServiceTitan, FieldEdge, Workiz and FieldPulse don't publish prices.
Can HVAC customers finance a new system through the CRM?
In QuoteIQ, yes, on every plan: Affirm (up to $30,000, terms to 36 months), Klarna and Afterpay are built into checkout, and you're paid upfront minus BNPL fees. Housecall Pro and Workiz also list consumer financing on their plans.
Can I schedule spring and fall maintenance visits automatically?
In QuoteIQ, a recurring job can repeat every 6 months with an end date, on every plan. You can also bill the agreement through an invoice subscription with Auto-Pay. QuoteIQ's recurrence options don't include quarterly, so quarterly filter changes need monthly or manual scheduling.
Is ServiceTitan worth it for a small HVAC company?
ServiceTitan is built for large operations with dispatch teams and call centers, and it doesn't publish pricing. Small shops usually start with a tool that has published prices, such as QuoteIQ, Housecall Pro or Service Fusion, and revisit ServiceTitan when they outgrow it.
Why is Jobber ranked last for HVAC?
Jobber is well reviewed, with a 4.6/5 GetApp rating. We rank it last on cost: job costing and two-way SMS start on Grow, which costs at least $286/month for 4 users and at least $399/month for 10, and its AI Receptionist, Pipeline and Marketing Suite are paid add-ons below the Plus plan.
