What is Reminders & Tasks?
Reminders & Tasks is QuoteIQ's built-in to-do list and job reminder system. It lives under Tools → Reminders & Tasks and works exactly the same way on the web and in the QuoteIQ mobile app.
It has two tabs:
Task — your to-do list. Create tasks with due dates, priorities, and push reminders, link them to the records they're about, and assign them to your team.
Reminders — push reminders for scheduled jobs, so work on your calendar never sneaks up on you.
Reminders & Tasks is available on the Beginner plan and above. It does not use IQ Credits.
The Task tab at a glance
Your tasks sort themselves into four smart lists, each with a live count:
All — every open task
Today — tasks due today
Scheduled — every task with a due date
Completed — everything you've checked off
The Everyone dropdown at the top of the task list lets you view the whole team's tasks or filter down to a single person.
How to create a task
Go to Tools → Reminders & Tasks and make sure you're on the Task tab.
Tap Create Task. The New Task window opens.
Title (required) — describe what needs to happen, e.g. "Order condenser fan motor for the Hendricks job."
Notes (optional) — add part numbers, gate codes, or any details you'll want when the reminder fires.
Due Date and Due Time — pick the date, then choose a time from the dropdown (times run in 30-minute increments).
Priority — choose None, Low, Medium, or High. Priority shows as a colored dot on the task list: blue for Low, orange for Medium, red for High.
Assign To — pick an employee from your roster. Tap Add more + to assign the same task to additional people. Every assigned employee is notified the moment the task is created.
Reminder — under When, choose your timing: No reminder, At due time, 15 minutes before, 30 minutes before, 1 hour before, or 2 hours before (scroll the list for longer lead times). Under Via, reminders are currently delivered by Push notification — Email and SMS are coming soon.
Link To (optional) — attach the task to the record it's about: a Deal, Customer, Job/Schedule, Estimate, or Invoice. Each dropdown is searchable, so start typing a name or number. The linked record shows on the task as a chip you can tap to jump straight to it.
Tap Create Task. It appears on the list, and anyone assigned gets notified.
Note: linking a task to a Deal requires Pipelines & Deals, which is available on Elite and Max plans.
Completing a task
Tap the circle next to any task to mark it complete. The task strikes through and moves to the Completed list, and the counts update automatically.
Need to change a task? Delete and recreate it
Tasks can't be edited after they're created. If the details change — a new due date, a different assignee — open the task, tap Delete, and create a fresh one with the updated info. Creating a task only takes a few seconds, so this is quicker than it sounds.
Complete a task when the work got done.
Delete a task when it's wrong, outdated, or no longer needed.
How to create a job reminder
The Reminders tab covers scheduled work. This tab is currently the place to create job reminders.
Go to Tools → Reminders & Tasks and switch to the Reminders tab.
Tap Create Reminder.
Pick the scheduled job you want to be reminded about and choose how far in advance the notification should fire.
Save it. The reminder appears under Upcoming Job Reminders, and a push notification will hit your phone ahead of the job.
Notifications
Task assignments and reminders are delivered as push notifications through the QuoteIQ mobile app. If you're not receiving them, make sure notifications are enabled for QuoteIQ in your phone's settings (Settings → Notifications on iOS, or App Settings → Notifications on Android).
Quick answers
Which plans include Reminders & Tasks? Beginner and above. It's part of your subscription and doesn't consume IQ Credits.
Does it work on mobile? Yes — the workflow is exactly the same on web and in the mobile app.
Can I assign one task to multiple people? Yes. Use Add more + in the Assign To section. Everyone assigned gets notified.
Can I edit a task? No — delete it and create a new one with the updated details.
Where do I create job reminders? On the Reminders tab inside Tools → Reminders & Tasks.
