SOP: Follow Up Boss Integration Setup in Radius Office

Overview

This SOP explains how Team owner of the Follow Up Boss account can connect their Follow Up Boss (FUB) account with Radius Office to enable automatic syncing of contacts, notes, stages, and assignments.


Integration Overview

Data Sync Details

Inward Sync (FUB → Radius)

The following data will sync from Follow Up Boss to Radius:

  • Contact details

  • Notes

  • Assigned agent

  • Lead source

  • Stage changes

Outward Sync (Radius → FUB)

The following data will sync from Radius to Follow Up Boss:

  • Notes

  • Stage changes

  • Agent assignments

Setup Process

Step 1: Open Integrations in Radius

  1. Log in to Radius Office.

  2. From the left sidebar, click:

    • Settings

    • Integrations


Step 2: Connect Follow Up Boss

  1. Scroll down to the Follow Up Boss integration card.

  2. The card will display:

    • “No Follow Up Boss account connected.”

  3. Click the Connect button.


Step 3: Review the Setup Page

  1. You will be redirected to the Connect Follow Up Boss page.

  2. Review:

    • Sync information

    • Integration details

    • API setup instructions


Step 4: Generate API Key in Follow Up Boss

Important Note

The API key must be generated using the Team Owner’s Follow Up Boss account.

Using a regular team member’s account may cause webhook registration failure.

Steps to Generate API Key

  1. Open Follow Up Boss in a new browser tab.

  2. Log in to your account.

  3. Click your profile icon in the top-right corner.

  4. Select Admin.

  5. From the left menu, click API.

  6. Click Create New API Key.

  7. Name the key:

    • “Radius”

  8. Click Create.

  9. Copy the complete API key.

API Key Format

The API key should begin with:

  • fka_


Step 5: Add API Key in Radius

  1. Return to the Radius setup page.

  2. Scroll to the Add Your API Key section.

  3. Paste the API key into the field.

  4. Click:

    • Connect Follow Up Boss


Step 6: Wait for Webhook Registration

  1. After clicking connect, the Webhook Status will display:

    • Processing

  2. This means Radius is registering the webhook.

  3. Registration may take several minutes depending on team size.

Important Notes

  • The Replace and Delete buttons will remain disabled during processing.

  • This is expected behavior.


Step 7: Confirm Active Status

  1. Once setup is complete, the Webhook Status will change to:

    • Active

  2. The integration is now successfully connected.

  3. Your team’s data will begin syncing automatically.


Replacing an Existing API Key

Important Warning

Replacing an API key will temporarily interrupt the active integration until the new key is connected.


Steps to Replace API Key

Step 1: Click Replace

  1. Go to:

    • Settings → Integrations

  2. Locate the Follow Up Boss integration card.

  3. Click Replace next to the existing API key.


Step 2: Confirm Replacement

  1. A confirmation message will appear.

  2. Review the warning carefully.

  3. Click:

    • Yes, Replace


Step 3: Generate New API Key

  1. Generate a new API key in Follow Up Boss.

  2. Paste the new key into Radius.

  3. Wait for the webhook status to return to:

    • Active


Troubleshooting

Webhook Status Stuck on Processing

  • Wait a few minutes and refresh the page.

  • Ensure the API key belongs to the Team Owner account.

  • Verify the API key starts with fka_.


Integration Not Working

Check the following:

  • Correct API key was pasted

  • Team Owner account was used

  • Webhook status is Active

  • Internet connection is stable


Best Practices

  • Use only the Team Owner’s API key.

  • Avoid replacing API keys frequently.

  • Complete the replacement process in one session to minimize sync disruption.

  • Verify the webhook status after setup.

Critical: Team Owner's Key Required

The API key MUST come from the FUB team owner's account — the person who owns the

FUB subscription. If you're not the team owner, ask them to generate the key and share it

with you. Using a team member's key will cause webhook registration to fail.
