Email Parser for Automatic Lead Capture

Email Parser for Automatic Lead Capture

Overview

The Email Parser in Radius Office allows agents to automatically create client profiles by forwarding lead emails from third-party platforms such as Zillow, Redfin, or other lead providers. Once configured, Radius will parse the incoming email, extract the lead information, and automatically create a client profile in your CRM.

This feature eliminates manual data entry, helping you capture and manage leads more efficiently.

Benefits

  • Automatically create client profiles from lead emails.

  • Reduce manual data entry.

  • Capture leads from multiple lead sources.

  • Automatically populate client information in the CRM.

  • Keep your lead management centralized in Radius Office.

Before You Begin

Before configuring the Email Parser, ensure that:

  • You have access to your Radius Office account.

  • You have access to the email account where your lead notifications are received (e.g., Gmail or Outlook).

  • You know which platforms send your lead emails (e.g., Zillow, Redfin, bank referrals, or other lead providers).

Accessing the Email Parser

  1. Sign in to your Radius Office account.

  2. Click Settings.

  3. Select Integrations.

  4. Locate the Email Parser section.

Understanding the Parser Email Address

Each Radius user is automatically assigned a unique parser email address.

The email address is generated using your profile information and serves as the forwarding destination for your lead emails.

Example:

(Example only. Your actual parser email will be unique.)

Editing Your Parser Email Address

If desired, you can customize your parser email address.

To edit it:

  1. Navigate to SettingsIntegrationsEmail Parser.

  2. Click Edit next to the parser email.

  3. Enter your preferred email alias.

  4. Save your changes.

Important: If you change your parser email address, you must update your forwarding rules to use the new parser email. Emails forwarded to the previous parser address will no longer be processed.

Setting Up Email Forwarding

Configure your email provider (such as Gmail or Outlook) to forward lead emails to your Radius parser email.

Steps

  1. Copy your Radius parser email address.

  2. Open your email provider (Gmail, Outlook, etc.).

  3. Navigate to the email forwarding settings.

  4. Add your Radius parser email as the forwarding destination.

  5. Save the forwarding rule.

Once configured, all qualifying lead emails will automatically be forwarded to Radius Office.

How the Email Parser Works

When a forwarded lead email is received:

  1. Radius reads the email content.

  2. The system extracts available lead information.

  3. A new client profile is automatically created in your CRM.

  4. The lead source is recorded.

  5. Relevant client details are populated automatically.

Information Captured

Depending on the information available in the forwarded email, Radius can automatically capture:

  • Client name

  • Email address

  • Phone number

  • Budget

  • Buying or selling timeline

  • Lead source

  • Referral information

  • Additional notes contained in the email

Client Profile Creation

Once processing is complete:

  • A new client profile is automatically created in your CRM.

  • The extracted contact details are populated.

  • The lead source is identified.

  • Relevant referral information is included.

  • Hyperlinks from the original email are preserved, allowing agents to open related resources directly from the client profile.

Updating Your Forwarding Rule

If you edit your parser email address:

  • Update your forwarding rule in Gmail, Outlook, or your email provider.

  • Remove the old forwarding address.

  • Add the new parser email address.

Failure to update your forwarding rule will prevent new leads from being processed.

Best Practices

  • Verify that email forwarding is active after setup.

  • Test the integration by forwarding a sample lead email.

  • Keep your forwarding rule updated if your parser email changes.

  • Periodically review newly created client profiles to ensure lead information has been imported correctly.
