How do I create a template for emails, SMS texts and voicemails?

Email, SMS text and voice mail templates are pre-written messages used for frequent communication. These templates can include placeholders for names, dates, or other personalized details, allowing the content to feel tailored even when it's sent to many recipients.

Templates are typically used for:

  • Thank you messages

  • Event invitations

  • Donation requests

  • Reminders or confirmations

  • Updates or announcements

Templates bring consistency, professionalism, and efficiency to communication. Instead of writing the same message repeatedly, a template allows users to send well-crafted messages quickly and accurately.

They are especially helpful when:

  • Teams need to send messages that follow a standard format

  • Organizations want to maintain a consistent tone

  • Users manage high volumes of communication

To get to Templates, click Templates in the left pane. The default window shows a list of all saved email and SMS templates. Click the Voicemail tab to see saved voicemail templates. Each template is represented as a row, while columns show important information for saved templates including:

  • Label (template name)

  • Subject (subject line)

  • Body (content of the message)

  • Type (SMS or email)

  • Attachment (If any, any messages containing media will be sent as MMS)

  • Created At (the date on which a template was saved)

  • A popup menu that appears in the end when you hover the cursor over a template. The menu includes options to Edit Archive and Delete a template. To view archived templates, simply click the Archived button right before the blue Create button.

How to create a new email or text template?

To create a new email template follow the steps below and refer to the illustration:

  1. Click the blue Create button at the top right corner of the Templates window

  2. Enter template name in the first text field

  3. Click Email

  4. Select sender’s email address from the available options in the From field (you can also add more addresses in CC)

  5. Enter a subject line in the Subject field

  6. Write email text and format as required using available formatting options

  7. Click Browse to attach any filed if needed

  8. Click Merge Fields at the bottom right and select from the available options where needed e.g. {firstName}, {lastDonationAmount}

  9. Click the blue Create Template button to save

To create a new SMS template follow the steps below and refer to the illustration:

  1. Click the blue Create button at the top right of the Templates window

  2. Enter template name in the first text field

  3. Click SMS

  4. Enter the SMS text in Message Body

  5. Click the Browse button to attach media files like images. Please not that the SMS will convert into MMS once you attach any file.

  6. Click Merge Fields at the bottom right and select from the available options where needed e.g. {firstName}, {lastDonationAmount}

  7. Click the blue Create Template button to save

How to create a voicemail template?

Voicemail templates in RaiseMore are pre-recorded messages that can be dropped instantly when a call goes to voicemail. It's especially helpful during large-scale outreach, where efficiency and uniformity in communication are important.

In addition to email and SMS templates, RaiseMore also allows you to easily create voice mail templates. Here is how you can record a voicemail template:

  1. Hover the cursor over Templates in the left pane and click Voicemail. You can also click Voicemail (next to Texting and Email) if already in the Templates window,

  2. Call the number provided and leave a message after the beep

  3. A voicemail template will be recorded and saved in the templates list
