How do I correct a donation attributed to the wrong person?

Move a donation to the correct contact by editing it, or merge duplicate contacts. Includes steps, the duplicate case, and when to contact support.

Sometimes a donation lands on the wrong contact. This usually happens in one of two ways: a donation that flowed in from ActBlue matched an existing contact incorrectly, or a donation was entered by hand on the wrong profile. The good news is that you do not have to delete and re-create the gift. You can move it to the correct contact by editing it.

This article explains how to figure out what happened, the steps to move a donation, the special case where the two contacts are actually duplicates, and when to reach out to support.

First, figure out what happened

Before you change anything, decide which situation you are in. The fix is different for each.

Wrong match. The donation belongs to a real person who already has their own correct contact record, but the gift is showing up on someone else's profile. This is the common case for ActBlue donations that matched the wrong existing contact, and for manual entries saved on the wrong profile. The fix here is to move the donation to the right contact.

Duplicate person. The "wrong" contact is not really a different person. It is a second record for the same donor (for example, the same person imported twice, or an ActBlue donation that created a new contact instead of matching the existing one). In this case the cleanest fix is to merge the two contacts, which moves the donation for you. See the duplicate case below.

If you are not sure which one you are looking at, check whether both contacts are real, distinct people. If they are two records for the same human, treat it as a duplicate. If they are genuinely different people, treat it as a wrong match.

Steps to move a donation to the correct contact

You can move a donation from either the donor's profile or the donations list.

  1. Open the contact profile that currently shows the donation, and scroll to the donation history. You can also open the main donations list if that is easier to search.

  2. Find the donation you want to move.

  3. Open the actions menu for that donation (the three-dot menu) and choose Edit. This opens the donation editor.

  4. At the top of the editor is a Contact field. Clear it and start typing the name of the correct contact, then pick the right person from the search results.

  5. Review the rest of the details (amount, date, and any reference fields) and leave them as they are unless they also need fixing.

  6. Click Save Changes.

The donation now appears on the correct contact's profile and drops off the old one. The amount, date, and other details stay with the donation. Donor totals are calculated from the donation records on each profile, so the totals on both the old and new contact reflect the move.

If you cannot find the correct contact in the search, that contact may not exist yet. Create the contact first, then come back and move the donation to it.

The duplicate-contact case

If the donation is on the wrong contact because that contact is actually a duplicate of the right person, do not move the donation by hand. Merge the two contacts instead.

When you merge two contacts, all of the records attached to the losing contact, including donations, pledges, tags, notes, call history, and list memberships, move to the surviving contact automatically. You do not have to reassign the donation separately. This is the better path when you have two records for the same donor, because it also cleans up the duplicate at the same time.

To do this, open the Merge Duplicates page from the main menu and combine the duplicate into the correct contact. After the merge, confirm the donation shows up on the surviving record and that the totals look right.

When to contact support

Reach out to support if:

  • You moved a donation and the totals on either profile still look wrong after you reload the page.

  • A donation appears twice on the same profile. Duplicate donations can happen if an ActBlue event was received more than once, and these need to be reviewed rather than simply moved.

  • You see donations that you cannot edit, or the Contact field will not accept the correct person.

  • A large batch of donations matched to the wrong contacts and editing them one at a time is not practical.

When you contact support, include the donor name, the amount and date of the donation, the contact it is currently on, and the contact it should be on. That lets the team find the exact record quickly.

FAQ

Does moving a donation change the amount or date?

No. Only the contact link changes. The amount, date, and reference fields stay the same.

Will the donor's lifetime totals update?

Yes. Totals are derived from the donation records on each profile, so once a donation moves, the totals on both the old and the new contact reflect the change. If a total still looks wrong after you reload the page, contact support.

Can I move a donation that came from ActBlue?

Yes. Once a donation is in Raise More it behaves the same way regardless of where it came from, so you can edit it and change the contact. Note that this does not change anything on the ActBlue side, only the contact it is linked to in Raise More.

Should I delete the donation and add it again?

No. Editing the Contact field keeps the original details intact and moves the gift in place. A Delete option does exist in the donation actions menu, but deleting and re-adding risks losing information and can create mismatched records. Deleting a donation cannot be undone. Use Edit to move a gift, or merge the contacts if they are duplicates.

What if the donation is actually a duplicate gift, not just on the wrong person?

Do not move it. A true duplicate gift (the same gift recorded twice) should be reviewed with support rather than reassigned to another contact.
