How do I delete a donation?

Delete a donation from its actions menu. Deletion is permanent. Use Edit to re-attribute or fix a real donation instead.

You can delete an individual donation from the donation's actions menu. This is the right move when a donation was entered in error and should not exist at all. If the donation is real but attached to the wrong person, or it is a duplicate that came in through ActBlue, deleting is usually not what you want. See the sections below before you delete.

How to delete a donation

You can delete a donation from two places:

  1. From a contact's profile. Open the contact, find the donation under the Donations section, and open the actions menu for that row.

  2. From a donations table or list. Find the donation row and open its actions menu.

In the actions menu you will see Edit, Manage Tags, and Delete. Choose Delete.

A confirmation will appear that reads: "Are you sure you want to delete this donation? This action cannot be undone." Confirm to remove the donation, or cancel to keep it. Once you confirm, the donation disappears from the contact's history and from your donation totals.

Is it permanent? Can you undo it?

Deleting a donation is permanent. The confirmation prompt says so directly: "This action cannot be undone." There is no trash or archive to restore a deleted donation from, so treat the delete button as final.

When a donation is deleted, a few related links are cleaned up automatically. Any tags on that donation are removed, and if the donation had automatically fulfilled a pledge, that pledge is set back to unfulfilled. If the donation came from a connected payment, that payment record is unlinked from the donation. None of this can be reversed by undeleting, because there is nothing to undelete.

Because there is no undo, the safest approach is to double-check that you have the right donation, on the right contact, before you confirm.

When to edit or re-attribute instead of deleting

If the donation itself is real and you only need to fix something about it, use Edit rather than Delete.

The most common case is a donation attributed to the wrong person. Instead of deleting it and re-entering it, open the actions menu and choose Edit. In the donation form there is a Contact field. Search for the correct person and select them, then choose Save Changes. The donation moves to the right contact and keeps its amount, date, and other details. Deleting and recreating loses that history and is more error-prone.

Use Edit the same way to correct an amount, date, or other field that was entered incorrectly. Deleting should be reserved for donations that should not exist at all.

The ActBlue duplicate case

If you sync donations from ActBlue, you may sometimes see what looks like a duplicate donation. Before deleting it, check whether it is actually a duplicate or whether it reflects two separate, real contributions (for example, a recurring donor who gave in two different months).

If it is a genuine duplicate created by a one-off issue, deleting the extra copy is fine. But keep in mind that ActBlue donations flow in automatically. Deleting a record on your side does not change anything in ActBlue, and it will not stop the same donation from reappearing if the underlying event is re-sent. If you keep seeing duplicate ActBlue donations, that points to a sync issue rather than a one-time mistake, and you should reach out to support so the source can be looked at rather than deleting copies repeatedly.

FAQ

Can I delete more than one donation at once?

Deletion is done one donation at a time from each donation's actions menu.

I deleted a donation by mistake. How do I get it back?

There is no restore. You would need to re-enter the donation manually using the Add Donation form, matching the original amount, date, and details as closely as you can.

Will deleting a donation change a contact's pledge?

If the deleted donation had automatically fulfilled a pledge, that pledge returns to unfulfilled after the deletion.

The donation is on the wrong person. Should I delete it?

No. Use Edit, change the Contact field to the correct person, and choose Save Changes.

Does deleting a donation in Raise More refund the donor or change ActBlue?

No. Deleting only removes the record in Raise More. It does not issue a refund and does not change anything in ActBlue or your payment processor.
