If the same gift shows up twice on a donor's profile, this article explains why that happens and how to clean it up. First confirm the donation really is a duplicate, then delete the extra record.
First, check whether it is actually a duplicate
A few things look like duplicates but are not, so check before you delete anything.
Recurring gifts. A monthly recurring donor creates a separate donation for each month they give. Several gifts of the same amount, on different dates, from the same donor are expected and should be kept.
A donation and a refund of that donation. If a gift was refunded, the original donation stays on the profile and shows a strikethrough amount with a red Refunded badge next to it. That is one donation, not two.
A true duplicate is two donation records with the same amount and the same date for the same donor, where ActBlue only charged the card once.
Why exact replays usually do not create duplicates
When ActBlue sends us a webhook with the exact same content as one already received, the second copy is dropped automatically and no duplicate record is created.
Duplicates most often appear when the same gift reaches your account by two different routes. The common case is a donation that came in over the live ActBlue connection and was also included in a CSV you imported by hand. Those are two separate records, so you will need to remove one.
How to find the donations
You can work from either place:
The donor's profile. Open the contact and scroll to their donation history. Both records will be listed there.
The Donations page. In the left menu, open Donations, then All Donations. This is a table of every donation. Use the filter and sort controls to line up the two records by donor, amount, and date.
Compare the two rows. Look at the Date of Donation, Amount, Receipt ID, and Line Item ID columns. The record that came from the live ActBlue connection will have a Line Item ID filled in. A record you typed or imported by hand usually will not. When in doubt, keep the ActBlue record and remove the manual one.
How to delete the extra donation
Find the duplicate row, either on the donor's profile or on the Donations page.
Open the actions menu for that row (the menu at the end of the row).
Click Delete.
A confirmation appears: "Are you sure you want to delete this donation? This action cannot be undone." Click to confirm.
The donation is removed right away. Deleting cannot be undone, so make sure you are deleting the correct record before you confirm.
If you need to fix details instead of deleting
If the donation is not actually a duplicate but has wrong information (for example it is linked to the wrong contact, or the amount or date is off), use Edit in the same actions menu instead of Delete. The edit form lets you change the Contact, Amount (USD), Date, Receipt ID, Reference Code, Fundraising Page, Line Item ID, Donor Email, and Donor Phone, and manage Tags. Click Save Changes when you are done.
Still seeing duplicates
If the same gift keeps reappearing after you delete it, or you see many duplicates at once, contact support before deleting in bulk so we can check how the donations are reaching your account and stop the source.
