How do I record a check donation?

You record a check donation the same way you record any other donation: by adding it to a contact's record. Raise More does not have a separate "check" donation type or a payment-method field. A donation is just an amount, a date, and the donor it belongs to. There is no setting that marks a donation as cash, card, or check in the manual entry form.

If you only need to log that a donor gave a certain amount on a certain date, use the manual donation form below. If you want to keep the check number on the record, see the section on importing checks, because the check number is only available through a spreadsheet import, not the manual form.

Add a single check donation from a contact's profile

  1. Open the contact's profile.

  2. Find the Donations section.

  3. Click the plus (+) icon next to the Donations heading.

  4. The Add Donation window opens with the contact already filled in.

  5. Enter the Amount (USD). This is required.

  6. Enter the Date of the check. This is required.

  7. Fill in any of the optional fields you want to keep: Receipt ID, Reference Code, Fundraising Page, Line Item ID, Donor Email, Donor Phone.

  8. Optionally add tags in the Tags field to label where the donation came from.

  9. Click Add Donation.

The donation appears in the contact's donation history right away.

Add a single check donation from the Donations page

  1. Go to the Donations page.

  2. Click New donation in the top right.

  3. In the Add Donation window, search for the donor by name in the Contact field and select them. You must pick an existing contact before you can save.

  4. Enter the Amount (USD) and the Date.

  5. Fill in any optional fields and tags you want.

  6. Click Add Donation.

Recording the check number

The manual Add Donation form does not include a field for the check number or a separate check date. If you need to store the check number on the donation record, import the donation from a spreadsheet instead.

The donation import supports a check_number column and a check_date column. To use them:

  1. Put your check donations in a spreadsheet, with one row per check.

  2. Include columns for the donor and the amount, plus check_number and check_date for each check.

  3. Go to Import & Export.

  4. Choose the Donations import option. It is described as covering "Past donations (e.g. NGP or ActBlue exports), or spreadsheet (e.g. paper checks)" and is the right choice for "a list of checks."

  5. Upload your spreadsheet and map your columns during import.

This is the only way to capture the check number in Raise More today. Importing past donations also backfills donor contact information from the same rows.

What you can edit later

Open any donation and choose to edit it to change the amount, date, contact, or the same set of optional fields (Receipt ID, Reference Code, Fundraising Page, Line Item ID, Donor Email, Donor Phone) and its tags. The manual edit form has the same fields as the add form, so a check number added during an import is not editable from this window.

A note on ActBlue and online gifts

The Add Donation form and the donation import are for gifts you are entering yourself, such as paper checks or donations from another system. Online donations through ActBlue come in automatically through the ActBlue integration on the Integrations page and do not need to be entered by hand.
