How do I mark a donation as refunded?

The short answer

There is no button in Raise More to manually mark a donation as refunded. Refunds are recorded automatically. When a refund is processed at your payment processor, the matching donation in Raise More is updated and shows a red Refunded badge.

This article explains how refunds appear, where they come from, and what to do if a refund is not showing up.

How a refunded donation looks

Once a donation is marked refunded, you will see the change in two places:

  • On a contact's profile, in the donation list, the amount is shown with a line through it and a red Refunded badge next to it.

  • In the donations table, the Amount column shows the amount with a line through it and the same red Refunded badge.

The original donation record is not deleted. It stays on the contact's history, flagged as refunded.

Where refunds come from

Refunds are recorded automatically from two sources.

ActBlue

If your donations sync from ActBlue, a refund processed in ActBlue comes through as part of the donation event. Raise More updates the matching donation row with the refund date. You do not need to do anything in Raise More.

Stripe

If you collect donations through a Raise More donation page connected to Stripe, a refund issued in Stripe is reported back automatically. The donation is marked refunded only when the charge is fully refunded in Stripe. A partial refund updates the underlying payment record but does not flag the donation itself as refunded or show the Refunded badge.

In both cases, the right step is to process the refund in your payment processor. Raise More will update on its own once the processor reports the refund.

What the donation Edit form does and does not do

You can open a donation and choose Edit from its actions menu. The same menu also has Manage Tags and Delete. The Edit form lets you change these fields:

  • Contact

  • Amount (USD)

  • Date

  • Receipt ID

  • Reference Code

  • Fundraising Page

  • Line Item ID

  • Donor Email

  • Donor Phone

  • Tags

The Edit form does not include a refund option. You cannot mark a donation as refunded from this form.

If a refund is not showing up

If a donation should show the Refunded badge but does not, try these steps.

  1. Confirm the refund was actually processed in your payment processor. If it was completed recently, allow a short time for it to sync into Raise More.

  2. If the refund was fully issued in Stripe but the donation still shows no badge, check that the charge was fully refunded and not just partially refunded. Partial refunds do not update the donation badge.

  3. If the donation was added manually or imported from a spreadsheet rather than coming in from ActBlue or Stripe, there is no processor event to trigger the update automatically. In that case, contact Raise More support with the donor's name, donation amount, and date so the record can be corrected.

Do not delete the donation to "fix" a missing refund. Deleting the record removes the donor's giving history and cannot be undone. A refunded donation should stay on the record, flagged as refunded.

If a refund should be reflected in Raise More and is not, contact Raise More support with the donor's name, the donation amount, and the donation date.
