Screeners in Rally enrich participant profiles and help find the right participants by collecting additional information before inviting them to participate in other research activities.
Include a screener when building studies or signup forms to map responses to participant properties, leverage Conditional Logic for automatic qualification and quota assignment, and improve research quality with better recruitment targeting.
💡 Screeners cannot be submitted twice by a participant for the same study. This avoids overwriting original responses or any participants attempting to bypass a disqualification with an additional submission attempt.
Screener Tool Setup
Screener tool: Select your preferred screener / survey tool. Rally's native screener tool is recommended for seamless integration with properties and automated follow-ups. You can also choose from one of our Survey integrations with Qualtrics, SurveyMonkey, or Typeform to enjoy automatic tracking of survey completion within Rally.
Flexibility with manual management: You can also 'Link to a custom screener' to use an alternative non-integrated survey tool; if you choose this option, reference your selected tool's support documentation to ensure the redirect link is setup based on the tool's requirements for the best chance of seeing screener completion updates in Rally Studies. This is not guaranteed.
Qualification: Choose your preferred qualification method to streamline the workflow for qualified Participants.
Complete screener without being disqualified: Participants who complete the screener without selecting any auto-disqualifying answers will automatically qualify for the study.
You will need to set up conditional logic to disqualify participants based on specific question responses, or participants who complete screeners will auto-qualify unexpectedly.
Have a qualifying answer to specific questions: Participants who complete the screener with any auto-qualifying answers will automatically qualify for the study.
You will need to set up conditional logic to qualify participants based on specific question responses, or participants who complete screeners will not auto-qualify as expected.
Immediate scheduling/Immediate testing (optional): Toggle on to allow qualified Participants to book interviews or begin the unmoderated test after completing the screener, without waiting for you to follow up.
The next steps will vary depending on the survey tool selected. When using the Rally survey tool, the next step is to add questions to your screener or survey by selecting the '+ Add Question' button and selecting either 'Create New Question' or 'Add From Question Templates' and following the steps in the relevant section below.
Add a New Question
Select + Add question > Create new questions.
Question: Enter the full question to be shown to applicants. Be clear and concise.
Required: Enable the required checkbox if it is mandatory for participants to answer.
Question Description: Optionally, enable the checkbox and enter a question description to provide additional context or instructions to Participants, while keeping the actual question concise.
Question descriptions support rich text, such as adding images, gifs, formatted text, bullet points, numbered lists, and more.
Select the appropriate Question Type. More info on Question Types down below.

For Single-Select, Multi-Select, or Dropdown question types, add the available options for participants to choose from.
Add an option using the + or + Add new option.
Remove an option by selecting the trash icon.
Add bulk options by selecting + Add multiple new options to paste comma-separated values or to type and press enter after each option to save time.
Select Add "other" option for custom responses to allow participants to type in an alternative answer.
Select + Add "none of the above option" if needed.
For Single-Select, Multi-Select, or Dropdown question types, you can enable the Randomize Options toggle to display question options in random order for each participant.
Learn more about Matrix questions. Use the tabs to set the Rows (individual statements or prompts) and Columns (response or rating for each row), optionally using Prepopulate columns to use preset options like Ease of Use, Satisfaction, or Product Market fit. Use different properties to map each row.
Property Mapping: Auto-associate question responses to specific properties by using the dropdown to select a property. This helps enrich participant profiles continuously by having responses automatically update matching property values with any new or updated information, providing you with more data to better tailor your recruitment outreach.
Optionally, enable Conditional Logic to qualify, disqualify, or redirect a Participant to a specific question based on their response to a Single-Select, Multi-Select, or Drop-Down Screener question.
Carefully review your question for typos or missing info before selecting 'Done.'
Save as question template: If you'd like to reuse a question in the future, create a new Question Template from any screener question by selecting the 3 dots ... in the top right of a question and selecting 'Save as question template'.
Continue adding all questions to your screener.
To add a missing question between existing questions, navigate to the place you wish to insert the new question and select '+ Add question' between them.
To remove a question, select the 3 dots ... and 'Remove from screener.'
Review everything carefully, making sure all relevant questions are included and conditional logic is correctly set up before selecting the 'Next' button in the top right corner to continue building the rest of the study.
Create New Question Template from Screener or Survey
Create a new Question Template from any screener or survey question by selecting the 3 dots ... in the top right of a question and selecting 'Save as question template'.
We suggest using Property Mapping for questions saved as templates to associate question responses to specific Properties. This helps enrich Participant Profiles as question responses will automatically update the values in their Properties with any new or updated information that can be filtered by to target future research participants.
Add From Question Templates
Quickly and consistently build a screener by selecting from existing Question Templates.
Select the '+ Add question' button and select 'Add from question templates'.
Select the question template(s) you'd like to add to your screener.
Review your selections before selecting 'Add # questions'.
Select each newly added question template to open the editor to make any changes and complete setup, such as marking as required, adding property mapping, or configuring conditional logic.
Link to a Custom Screener or Survey Tool
While Rally's native screener/survey tool is recommended for seamless integration with properties and automated follow-ups, you can also choose from one of our survey integrations with Qualtrics, SurveyMonkey, or Typeform to enjoy automatic tracking of completion within Rally.
If you select Link to a custom screener in the tool dropdown, there are some important things to be aware of. Options may vary depending on the tool used.
Set Up Redirect Link to Track Completion in Rally
If the alternative tool you're using has a way to set up completion redirects, you must set it up before participants begin the screener for your Rally study to be updated when participants complete a screener or survey.
💡 Every tool is different, and Rally can't guarantee that an alternative tool will fully support the query parameters required for Rally to receive completion updates. Check your tool's support docs to learn if redirects for completion are supported, and to learn how their tool requires redirect links to be formatted.
The tool you use must support taking in a studyId
and participantId
query param, and forwarding those query params in the url of the redirect back to Rally.
Check in your survey tool to see if redirect links are supported, and reference the tool's support docs for specific instructions on redirect link setup steps required.
After selecting Link to a custom screener in the tool dropdown during the Survey or Screener step of any study or form setup, paste the survey link into the next field.
Next, copy the custom auto-generated Redirect Link and paste it into the redirect settings in your source survey (not in Rally) to send Participants back to Rally when they are done.
Check your tool's support docs to learn if redirects for completion are supported, and to learn how their tool requires redirect links to be formatted.
Participants must click the button at the end of the survey to be redirected back to Rally in order for Rally to automatically move them to Done and update Participants to "Survey Completed" or "Screener Completed".
Note: Any Participants who do click the final redirect button after completing your survey will be shown as "Done" in Rally, while Participants who do not click the final redirect button after completing your survey will still show as "In Progress" with Participant Status "Survey Started" or "Screener Started" even after completing it.
Utilizing the redirect link when using alternative survey tools will improve your ability to track survey completion in Rally. We cannot know if someone completed an activity outside of Rally unless they come back to Rally at the end. For this to work, the tool you use must support taking in a studyId
and participantId
query param and forward those query params in the url of the redirect.
If your survey tool does not allow the use of redirect links, seeing that the screener or survey has been started should help with knowing who and how many responses may be available to review on the source survey. Then you can use survey responses in your source survey to Update Participant Statuses for Participants that have completed the survey.
Screener Endings
Customize messages for participants based on their qualification status. You can also create study templates to reuse the same custom screener endings in future studies,
Standard: A general message that Participants see after they submit the screener.
Example: "Thank you for taking the time to fill out the screener survey. If you match our criteria, you will receive an email from us."
Qualified: A message that Participants see after they submit the screener with auto-qualifying answers.
Example: "Thank you for choosing to Participate. We think you'd be an awesome fit for our study, and we will reach out to you when there are opportunities for you to Participate in."
Disqualified: A message that Participants see after they submit the screener with auto-disqualifying answers.
