Introduction
The Template Manager has been updated with a redesigned template gallery and a new Manage Template side modal. This guide walks you through every feature available, so you can manage your templates faster — without needing to open the template editor.
Who is this for? Brand Admins, Support users, and Admins.
Where to find it: Template Manager → Templates
1. Navigating the Template Gallery
When you open the Templates section of Template Manager, you'll see your templates displayed as tiles.
Each tile shows:
Preview image — A scale-to-fit thumbnail of the template (no stretching or white gaps)
Template title (bold) and Template ID
Status badge — Shows whether the template is Live (approved) or Draft
Artworks In Use count — The number of active artworks currently using this template
To open a template's management options, simply click anywhere on the tile — the title, the image, or the template ID. This opens the Manage Template side modal.
💡 Tip: The old cog icon has been removed. All management actions are now accessed by clicking the tile directly.
2. The Manage Template Side Modal
The side modal is your central hub for managing a template. It slides open on the right side of the screen and gives you access to the following actions:
2.1 Edit Template Title
You can rename a template without opening the editor.
Steps:
Click on a template tile to open the Manage Template side modal.
Locate the template title field at the top of the modal.
Click on the title to make it editable.
Type your new template name.
Save your changes.
2.2 Update Thumbnail Image
Swap the template's preview image directly from the modal.
Steps:
Open the Manage Template side modal by clicking a template tile.
Click the Update Thumbnail option.
Upload a new image file (PNG recommended).
The new thumbnail will replace the existing preview on the tile.
💡 Tip: Choose a clear, representative image — this is what agency users see first when browsing templates.
2.3 Approve or Set as Draft
Toggle a template's status between Approved (Live) and Draft with a single click.
Steps:
Open the Manage Template side modal.
Locate the Approve / Draft toggle switch.
Click to switch the status:
Approved — The template is live, locked from being edited and available for use.
Draft — The template is editable.
⚠️ Note: Setting a template to Draft and making edits may cause issues with existing artworks that use this template. If template is in use on existing artworks it is best to create a new version or duplicate to apply the changes to.
2.4 Edit Template (Open Editor)
Jump directly into the template editor from the modal.
Steps:
Open the Manage Template side modal.
Click the Edit Template button.
The template editor will open.
Access rules:
Role | When Edit Button Appears |
Admin | Always available |
Support / Brand Admin | Only when the template is in Draft mode and the user has Template Master permissions |
💡 Tip: If you don't see the Edit Template button, check that the template is set to Draft and that you have Template Master permissions assigned.
2.5 Manage Permissions
Control who can access templates to build artworks and what provider and products the template shows under in the order flow.
Steps:
Open the Manage Template side modal.
Click the Manage Permissions button.
You will be taken to the full template permissions page/flow.
Configure as needed and save.
2.6 Manage Tags
Add or remove tags on a template without touching the template editor or its elements. Tags allow templates to show up in the Agency Marketing dashboard. Example use case would be a new bunch of templates have been created for the Spring 2026 launch and you want to display these templates in a group no matter the provider or products so that agencies can order all their material in one place.
Steps:
Open the Manage Template side modal.
Scroll to the Tags section.
Use the tag selector to:
Add a tag — Search for an existing tag, then select it.
Remove a tag — Click the ✕ next to any existing tag to remove it.
Changes are saved automatically.
💡 Tip: Managing tags from the side modal is the recommended approach. It avoids the risk of accidentally modifying template elements in the editor. To create a new tag to be applied to templates, this is done via Brand Admin > Tags.
2.7 Archive Template
Remove a template from active use by archiving it.
Steps:
Open the Manage Template side modal.
Click the Archive Template button.
Confirm the action when prompted.
⚠️ Note: Archiving removes the template from the active gallery. Archiving does not effect existing artworks using this template. When archiving a template, all permissions are automatically removed.
3. Viewing Artworks In Use
See exactly which active artworks are using a specific template.
Steps:
Open the Manage Template side modal.
Click the Artworks In Use button (the count is also displayed on the tile itself).
A new overlay modal will open showing:
A list of all active artworks using this template
The campaign address for each artwork
The total count of artworks in use
What's included in the count:
✅ Active artworks with pending order items
❌ Artworks with already-approved order items are excluded
This gives you an accurate picture of current, active usage.
4. Viewing Activities & Conversations
Review the full history of changes and discussions for any template.
Steps:
Open the Manage Template side modal.
Click View Activities & Conversations.
An overlay modal will open with two sections:
Activities — A chronological log of all edits, status changes, and updates made to the template, including who made each change.
Conversations — Comment threads and discussions related to the template.
💡 Tip: If there are more than 100 activity entries, use the Load More button at the bottom to view older records.

6. Frequently Asked Questions
Q: Where did the cog icon go on the template tiles?
A: It's been removed. Simply click anywhere on the template tile to open the Manage Template side modal, which contains all the actions the cog previously provided — and more.
Q: Why can't I see the Edit Template button?
A: The Edit Template button is role-dependent. If you're a Support user or Brand Admin, the template must be in Draft mode and you must have Template Master permissions. Admins always see the button.
Q: Will archiving a template affect existing artworks?
A: Archiving removes the template from the gallery. Check the Artworks In Use count before archiving though existing pending artworks will not be effected. Existing artworks that have already been approved will also not be impacted.
Q: Can I manage tags without opening the template editor?
A: Yes — that's one of the key benefits of the new side modal. You can add and remove tags directly from the Manage Template side modal without touching any template elements.
Q: What does the Artworks In Use count include?
A: It includes artworks with pending order items and excludes artworks with already-approved order items, giving you an accurate count of active usage.
