Canva: Linking, Permissions & Field Mapping for Canva Templates

Manage Canva templates in Template Manager - set permissions, link templates, and map Realhub data fields to auto-populate template fields.

Canva templates in Template Manager

Once your brand is connected to Canva, templates created in your Canva Enterprise Brand Kit will appear in Realhub's Template Manager. From here, you can link them, manage permissions, and set up field mapping so Realhub data automatically populates template fields when agencies use them.

Linking Canva templates

Canva templates can be synced to Template Manager automatically once the integration is connected by clicking Link New Templates in the top right of Canva Templates page. You manage them the same way as other templates in Template Manager - they appear in your template list and can be organised, tagged, and previewed.

Note: If templates do not appear, check your sharing/permissions in your Canva Brandkit.

Permissions for Canva templates

Like all Realhub templates, Canva templates must be "permissioned" to specific agencies, providers, products and services before agencies can use them. This ensures only authorised users can access a template. Template permissioning generally comes down to what providers and products are available in their shopping cart. If you wish for a template to show against these entities, select them in the permission modal. To access the permission modal - while in the Canva Templates page click on a template tile.

This will bring up the manage template side modal where you can click on Manage Permissions.

This will open the Permissions Modal where you will start on the Services step. A service is something that is offered by the providers assigned to your brand and agencies. Example being, Brochures and Flyers are generally under Print and/or Agent Marketing. Social tiles are under Digital. Business cards and flags are under Agent Marketing.

Select the service or multiple services that your brandkit template relates to. Selecting the right service will ensure the correct products show up in the flow.

Click next step to show providers. These providers are assigned to your brand so if the provider you are looking for is missing, you will need to reach out to the Realhub support team for assistance in getting the provider added to your brand.

Select the providers that you would like your agencies and agents to be able to use this design when ordering.

Click next step once you have selected the providers you wish to permission to this template. This will then show the products that are available in those provider's price lists/rate cards. Select the products that relate best to the sizing and specifications of your Canva Brandkit template. Note: Realhub does not check the sizing or specs of your Canva Brandkit templates at any point so please ensure you work directly with providers to ensure the sizing and specs of your templates meet their requirements before permissioning them.

Click next step to assign the agencies within your brand. Use the Select Visible function or search for the right agency. Once you have selected the correct agencies you can simply click Save and Exit.

For a full walkthrough on managing permissions across many templates at once, see Bulk Template Permissioning. For an overview of Template Manager's search and filter features, see Template Gallery.

Field mapping for Canva templates

Field mapping connects Realhub data, such as property details (address, price, beds/baths, images), campaign information, agency details, and agent information -to corresponding fields or placeholders on your Canva template. Once mapped, these fields auto-populate when an agency user creates artwork from the template in Realhub.

When you link a Canva template in Template Manager, you can configure which Realhub attributes map to which template fields. This ensures designers have the right data ready when they open the template in Canva.

In Canva this is called Data-Autofill.

Data Autofill (Canva feature)

To access Data Autofill you must hold a Enterprise account with Canva.

This then allows you to apply mapping to your design's text and images.

Common question is, why can't I see Data Autofill in my Canva menu on the left hand side when building a Brand Template design? Do I need to turn it on?

No, you do not have to turn it on or activate it for it to appear, but you must first find and select it from the "Apps" tab to pin it to your left-hand side menu.

By default, Canva keeps its sidebar clean and hides secondary features. To make Data autofill show up permanently in your left-hand menu, follow these steps while inside the Canva editor: How to Add Data Autofill to Your Menu

Once you click the app, it will open and automatically lock/pin itself to your left-hand menu for quick access during your session.

How to use Canva's Data Autofill

Once you have added Data Autofill to your left side menu, while you are editting a brandkit template click Data Autofill.

This will bring up modal that will ask what your data source is. Select Custom.

Once you have selected custom a new modal will overlay which asks if you have a custom data source connected. Tick the 'I've connected Canva to my data source' box and click Continue.

This will then prompt you to select an element on your design to add it as a data field.

So let's start by clicking on your hero image/photo in the design. This will show a tool bar above the design, click Data field.

Using the field mapping page noted above you can see/use the Realhub defaults OR use your own data field codes. eg. Realhub uses image_1

Place the code as per your Field Mapping page in Template Manager.

Repeat the same steps to apply data fields to the remaining images and text. Text works exactly the same as images. Use the Template Manager Field Mapping page as your reference when building brandkit templates.
