How to Handle Old Costs in Xero Practice Manager

If you notice old costs from Xero Practice Manager (XPM) appearing on a current invoice, it's likely because those costs were recently synced to Practice Connect for the first time β€” even though the work was completed in a prior period.

Why this happens

When Practice Connect syncs costs from XPM, it picks up any costs that haven't been tracked yet. If you've been manually importing costs from prior periods outside of Rechargly, Practice Connect may pull them in again and add them to the next invoice as a duplicate.

How to fix it

Option 1: Mark the old costs as non-billable in Practice Connect

  1. Find the old costs (you can sort by date to identify them)

  2. Mark them as Non-Billable so they won't appear on future invoices

Option 2: Delete the old costs

  1. Select all the old costs you want to remove

  2. The costs will be marked as deleted

Note: In Xero Practice Manager, you can't delete a cost. You can, however, change the amount to zero.
