How to Handle Xero Platform Credits in Rechargly

Understanding Xero Platform Credits

Xero occasionally issues credits to practices for service disruptions, pricing adjustments, or billing corrections. These credits appear as credit notes in your Xero organisation and may need to be reflected in your client billing if you oncharge Xero subscription costs.

How Credits Flow Into Rechargly

  1. Automatic import: If you have Xero connected as a vendor in Rechargly, credits will be imported alongside your regular charges during the next sync.

  2. Manual import: If credits don't appear automatically, you can do a custom import to add the credits yourself.

Applying Credits to Client Accounts

  1. Go to the Charges page in Rechargly.

  2. Locate the credit entries — they will appear as negative amounts.

  3. Review the mapping to ensure each credit is assigned to the correct client.

  4. Credits will automatically offset the client's next invoice when included in the billing run.

If Credits Don't Appear

  • Check Imports: Go to the Imports page, review your invoice and confirm the credit note was received.

  • Contact Xero: The credits may not have been applied to your account. In this scenario, you will need to contact your account manager.

  • Custom Import: Go to the Imports page, click the […] and follow the steps to do a custom import.
