Managing Xero Lock Dates When Reconciling Old Payouts

How to resolve the Xero end of year lock date error when reconciling old payouts in Rechargly.

When tidying up old payout reconciliations or fixing a clearing house balance mismatch, you may see this Xero error: "The document date cannot be before the end of year lock date."

Why this happens

Xero lock dates prevent changes to closed periods. When Rechargly reconciles an old payout, it needs to record payments and invoices on their original dates. If those dates fall before your Xero lock date, Xero rejects the entries and the payout stays in For Review with a balance mismatch.

How to fix it

  1. In Xero, go to Settings > Advanced settings > Financial settings.

  2. Note your current lock dates so you can restore them afterwards.

  3. Temporarily remove (or move) the lock date covering the period you need to fix.

  4. In Rechargly, go to Payouts > For Review and select Reconcile again on the affected payout.

  5. Once the payout reconciles, restore your lock dates in Xero.

Before you unlock a closed financial year
