This article lists what Rechargly reads from and writes to your FYI account, and what it never touches.
What Rechargly reads
Rechargly reads the following from FYI:
Client list, to match your FYI clients to the clients you have mapped in Rechargly.
Staff list, to fill the manager and partner pickers and resolve the person you nominate to the right FYI staff member.
Job types, so you can choose which FYI job type new jobs are created under.
Job states, so completed or on-hold jobs are recognised.
Jobs, to show available jobs and mirror their state back into Rechargly.
Its own posted disbursements, read back so Rechargly can see which ones FYI has invoiced and stop touching them.
Your FYI invoice list, on the Elite plan only, to reconcile those invoices against the recharge invoices Rechargly raised.
For clients and staff, Rechargly stores the FYI identifier, the name, first and last name, email address, and the assigned manager and partner, along with a copy of the FYI response for support and audit. This information is used only to match clients and to fill Rechargly's own pickers. It is never sent back to FYI and never shared with anyone else, and these records are read only, never modified.
What Rechargly writes
Rechargly writes only the jobs and costs it creates itself.
For each mapped client it creates a job to hold that client's software disbursements, under the job type you choose and with workflow disabled, and assigns the manager and partner you nominate in Rechargly.
It keeps that job's state in step with Rechargly, for example In Progress, For Invoicing, Completed or Cancelled, unless you ask Rechargly never to change job state.
It posts each software charge to the job as a disbursement, carrying the charge date, description, note and amount, and whether it is billable. A cost you choose to absorb is written as non-billable using FYI's built-in Write On/Off type.
What Rechargly never touches
Documents, emails and custom fields: Rechargly does not read or change any document, email or custom field data in FYI, and it does not use the Filing Defaults section, because it does not sync documents.
Your client and staff records: Rechargly never edits them. It only ever edits the jobs and costs it created itself.
Deletion: Rechargly never deletes anything in FYI. When a charge is removed or moved in Rechargly, the entry it created is voided in place, renamed with a [DELETED] suffix, set back to draft, and its amount zeroed so it drops out of the job's work in progress. The record is left in place for you to see.
Direction: each object moves in one direction only, so there is no two-way overwrite of the same record.
