Add a One-Time Fee to a Member or Participant Account

Learn how to add and process an occasional charge or item purchase on a specific member or participant account.

Use the One-Time Fee workflow when the charge needs to be attached to a specific member or participant account.

  • Facility rental fees

  • Late pickup fees

  • Gift certificate purchases

  • Other miscellaneous charges

Where to Find: Navigate to the Unit page for the specific member or participant.


Add a One-Time Fee

  • Search for the specific Unit or Member
    Select the Add Fee/Credit button in the Unit Info section.

  • Select the appropriate item from the Fee dropdown menu.

  • If applicable, enter additional information in the Description field.

  • Enter the Quantity.

  • Depending on how the fee is configured, the Amount field will either:

    • Automatically populate with a predefined amount

    • Display as $0.00 and allow the staff user to enter the appropriate amount

  • If the fee is taxable, the system will automatically calculate and add the applicable tax amount.

  • Select the Payment Method the member/participant wants to use.

    • You may select a payment method already saved on the member or participant account or enter a new payment method.

  • Review the information to confirm that it is correct.

  • Select Submit to complete the transaction.


Payment Method Options

Saved Payment Method: When a saved payment method is selected, the system will automatically process the transaction after Submit is selected.

When Cash is selected, the system will prompt the staff user to enter the amount received from the payee. The system will then calculate the amount of change that should be returned.

When Check is selected, the system will prompt the staff user to enter:

  • The check number

  • The name of the payee displayed on the check

When using a Credit or Debit card that is not already saved on the account, the staff user will be prompted to enter the applicable card information, including:

  • Card number

  • Expiration date

  • CVV or security code

When using a Bank Account that is not already saved on the account, the staff user will be prompted to enter the applicable banking information, including:

  • Routing number

  • Account number

When Invoice is selected as the payment method, the charge will be added as an unpaid item. The staff user will be directed to the Unpaid Items tab of the Unit, where applicable adjustments, discounts, or other exceptions may be applied.
